Legal Secretary (Litigation/Labor & Employment) The candidate performs a variety of secretarial and/or administrative duties for assigned attorneys/paralegals. Interacts with colleagues in a team setting and upholds the image of the Firm by maintaining positive contact with clients, attorneys and staff, and observing confidentiality of client matters. Inputs, revises and finalizes correspondence, memoranda and other legal documents. Drafts routine correspondence, memoranda and other documents. Proofreads documents and checks for appropriate formatting, spelling and grammar. Verifies all attachments, exhibits and enclosures are included with transmittal letters/memos. Maintains good public relations with clients. Receives, reviews and prints electronic faxes. Delivers paper faxes as necessary. Sorts, dates and reads incoming mail. Prepares documents and packages for mail, messenger and overnight delivery. Completes client/matter forms. Requests conflicts of interest checks. Opens new files. Maintains all client and general files. Conducts periodic review for possible storage of old files and prepares files to be closed. Prepares expense reports. Coordinates and follows through on requests and projects with other support departments (e.g., word processing, receptionists, file/document clerks, office services). Provides overflow assistance and secretarial support for Secretarial Team Members attorneys and paralegals. Other duties and projects as assigned. Screens telephone calls, listens to voicemail and records messages. Schedules appointments and makes arrangements for meetings, conferences and travel. Maintains calendar and deadline reminder systems. Enters attorney time. Sends time entry reminders and tracks entries. Receives clients and visitors. Reviews and prints e-mail messages. Processes client billing. Reviews and edits bills as necessary. The candidate should have 5 years of experience in litigation, particularly in federal venues. High degree of proficiency with PACER and e-filing procedures is required. Must have high degree of proficiency with document management systems and litigation support tools. Should have ability to conduct research on local rules, chamber rules, and standing orders to extract filing requirements. Must have ability to coordinate logistics for high-volume filings for large case teams across multiple time zones. Ability to manage vendors is required./ High degree of proficiency with Word preferred. Experience with class action litigation a plus.
