This large international New York law firm founded in 1934 has established a full-service presence. Clients include large corporations and individuals as well as small and medium-sized businesses. The firm represents a wide range of industrial, financial and commercial enterprises, both publicly and privately held. Firm lawyers represent clients in every state as well as numerous foreign jurisdictions. Legal Secretary, Employment Litigation Duties: Edit, proofread, and redline documents and correspondence for accuracy, grammar, and formatting. Correctly format court pleadings according to applicable court rules including generating tables of authorities (TOAs) and tables of contents (TOCs). Research State and Federal rules of court and work with attorneys to ensure adherence to rules of court and codes of civil procedure. Timely file court documents with various courts and administrative bodies, including electronic filing where applicable. Assist with preparation for meetings, depositions, hearings, mediations, trials and other litigation proceedings. Coordinate meeting logistics, including scheduling, arranging videoconferences, conferences calls, and conference rooms; requesting equipment and food and beverage orders; preparing presentation materials. Input, review, edit, and update attorney time entries. Organize and maintain paper and electronic files in accordance with Firm records retention policies. Review incoming mail and correctly route to appropriate parties, including to attorneys and to the Firms Docketing Department. Work closely with the Docketing Department, attorneys, paralegals, secretaries and other Firm employees to confirm dates are calendared appropriately and that attorney and department calendars are maintained. Review and maintain case files and partner with Firms Information Governance Department to ensure proper maintenance of case files; locate relevant case information for attorneys. Prepare attorneys check requests and coordinate payment to vendors when necessary. Back up other secretaries during planned and unplanned secretary absences. Answer incoming telephone calls and document and relay messages. Requirements: High school diploma. 5+ years of related work experience. Knowledge of Microsoft Office Suite (Excel, Outlook, PowerPoint and Word). Strong written and verbal communication skills. Strong organizational skills. Ability to work under tight deadlines and prioritize responsibilities. Ability to maintain and handle confidential information. Ability to work effectively in a fast-paced environment. Possess excellent customer service skills. Desire to work cordially, cooperatively and productively with Firm employees. Ability to work overtime as needed to complete essential functions.
