Legal Secretary - Intellectual Property The candidate will prepare IP Prosecution specific documents, forms, spreadsheets and presentations including U.S. Patent prosecution filings, reporting letters to clients, documents received from the PTO, draft applications and amendments. Provide legal and non-legal administrative support to attorneys and clients. Request drawings from draftsman for review and revision and obtain copies of patents. Maintain dockets on a regular schedule and send reminders to attorneys as necessary. Process intake of new clients; create client files; search and print reports. Work with assigned billing specialist to prepare invoices, create cover letters, and mail invoices. Coordinate all aspects of lawyers travel arrangements (domestic and international) and prepare travel itineraries, monitor and process travel reimbursements in a timely manner, maintain Outlook calendar, and monitor crucial due dates for lawyers as required. Organize, coordinate, and communicate pertinent information with other team members. Monitor lawyers incoming emails as directed and when required. Answer phones and direct callers as required. Maintain and follow through on all client billing matters. Maintain appropriate sense of urgency and complete all work assignments within agreed upon deadlines. Create and maintain up-to-date lawyer preference information supported by the SSC reflecting specific instructions and expectations of the lawyers. Notify Secretarial Supervisor upon arrival every morning via e-mail and provide any pertinent information as required. Notify Secretarial Supervisor about availability to assist with overflow work. Coordinate any planned time out of the office (PTO) with team members prior to submitting request to Secretarial Supervisor for approval. Timely and regular attendance. Prepare/finalize discovery (propounded and/or responses). Prepare shell responses to propounded discovery accurately and efficiently. Communicate with court staff regarding various issues. Handle outgoing and incoming mail/FedEx for assigned attorneys (calendar any related deadlines, court appearances, meetings, mediations, etc.). Maintain calendars to include coordination and scheduling meetings, depositions, conference calls, sends calendar invites and reminders, reserves conference rooms. Tracks deadlines and status of cases/matters, and updates attorneys on court deadlines. Prepare Trial Memorandum and calendar all appearances/deadlines. Schedule local and out-of-town depositions; schedule conference rooms (in office and remotely), coordinate court reporter/videographer. Coordinate Mediation dates. Scan and uploading documents to NetDocs. Assist with trial preparation: create trial notebooks; coordinate trial copy jobs with copy service; coordinate delivery and pick up of trial notebooks, etc. from court. Create Masters for new files (Case Information Sheet, Caption, Proof of Service, Letter to Carrier and Client, and Letter to Plaintiff's Counsel). Answer telephones taking detailed messages. At request of attorneys, provides follow up and interacts with clients, outside counsel and others. Assist with Overflow Keep up with court/judge's rules and filing procedures. should have 3-5 years experience as a legal secretary. Excellent writing and communication skills are desired.
