Legal Secretary The candidate responsibilities will include: Inputs, revises and finalizes correspondence, memoranda and other legal documents. Drafts routine correspondence, memoranda and other documents. Files legal documents in federal courts and state courts; prepares legal documents for service of process; prepares case shell documents for use by attorneys. Proofreads documents and checks for appropriate formatting, spelling and grammar. Verifies all attachments, exhibits and enclosures are included with transmittal letters/memos. Maintains good public relations with clients. Receives, reviews and prints electronic faxes. Delivers paper faxes as necessary. Sorts, dates and reads incoming mail. Prepares documents and packages for mail, messenger and overnight delivery. Completes client/matter forms. Requests conflicts of interest checks. Opens new files. Maintains all client and general files. Conducts periodic review for possible storage of old files and prepares files to be closed. Prepares expense reports. Coordinates and follows through on requests and projects with other support departments (e.g., word processing, receptionists, file/document clerks, office services). Provides overflow and absence assistance and secretarial support for Secretaries attorneys. Other duties and projects as assigned. Screens telephone calls, listens to voicemail and records messages. Schedules appointments and makes arrangements for meetings, conferences and travel. Sends time entry reminders and tracks entries. May enter attorney time. Receives clients and visitors. Reviews and prints e-mail messages. Assist billing coordinator and billing attorneys with client bill processing. Reviews and edits bills as necessary. Must have Typing speed/accuracy 65 wpm with 95% accuracy. Should have proficiency in Microsoft Programs (Word, Outlook, Excel). Must have Legal citation and legal terminology expertise. Strong experience with state and federal court filing procedures required. Excellent grammatical and spelling skills needed. Legal Secretary, Employment Litigation Duties: Edit, proofread, and redline documents and correspondence for accuracy, grammar, and formatting. Correctly format court pleadings according to applicable court rules including generating tables of authorities (TOAs) and tables of contents (TOCs). Research State and Federal rules of court and work with attorneys to ensure adherence to rules of court and codes of civil procedure. Timely file court documents with various courts and administrative bodies, including electronic filing where applicable. Assist with preparation for meetings, depositions, hearings, mediations, trials and other litigation proceedings. Coordinate meeting logistics, including scheduling, arranging videoconferences, conferences calls, and conference rooms; requesting equipment and food and beverage orders; preparing presentation materials. Input, review, edit, and update attorney time entries. Organize and maintain paper and electronic files in accordance with Firm records retention policies. Review incoming mail and correctly route to appropriate parties, including to attorneys and to the Firms Docketing Department. Work closely with the Docketing Department, attorneys, paralegals, secretaries and other Firm employees to confirm dates are calendared appropriately and that attorney and department calendars are maintained. Review and maintain case files and partner with Firms Information Governance Department to ensure proper maintenance of case files; locate relevant case information for attorneys. REQUIREMENTS: Bachelor's Degree strongly preferred. 5+ years as a secretary or administrative professional is required. 3+ years in the legal industry, preferably within a law firms wealth planning or private client practice group, is preferred but not required. Previous experience supporting at least one partner/high level manager in a legal or professional services environment. Must possess strong technical skills, such as typing, and have a good working knowledge of Microsoft Word, Excel, Outlook, PowerPoint 2003 and 2010, Chrome River as well as document and data management programs such as FileSite/iManage and Elite. Solid command of the English language including excellent spelling, grammar, punctuation, form and style. Ability to compose correspondence needed. Strong communication skills: the ability to express self effectively, both orally and in writing.
