Litigation Paralegal Duties: Proactively assisting attorneys with all aspects of the litigation process from case inception through trial and the appeal process. Previous experience performing the following tasks: drafting correspondence and discovery; assisting attorneys in preparing for depositions, mediation, trial; document management; knowledge of court rules; proficiency in e-filing (state and federal); calendaring and docketing; and research skills. Experience with electronic document review platforms such as Summation, Concordance, and Relativity, including key word searching and assistance in production coordination. Proficiency with Microsoft Word, Excel, PowerPoint, Case Map, ShareFile, Nuance, TrialPad and TrialDirector. Perform public searches, including federal and state lien searches, financing statement, and secretary of state records and prepare charts or summaries to illustrate results. Assist with filings to and searches of Federal and state Agencies, including U.S. Securities and Exchange Commission; Secretary of States sites, and others. Coordinate and participate in the review of printer proofs (proofreading). Assist with the organization and maintenance of corporate closing and data rooms, whether physical or electronic. Assist in post closing activities and deliveries, including closing binder preparation and distribution, and with other corporate document distributions. Litigation Paralegals Tracks, maintains and helps to coordinate paper and electronic document collections, reviews and productions. Assists with and helps to coordinate litigation support projects through utilization of document databases such as Relativity (web repository or in-house) and Case Notebook. Analyzes and reviews various documents as required by lawyers. Prepares documents, such as statistical charts and graphs. Performs litigation due diligence searches, obtains docket sheets and other court papers utilizing electronic tools such as Courtlink and PACER. Utilizes legal research software such as Westlaw and Lexis/Nexis for case retrieval and citation reference. Performs other work-related duties as assigned by the Paralegal Managers, Paralegal Supervisors and Paralegal Coordinators. Complies with department and firm administrative procedures, policies and best practices. General working knowledge of Microsoft office programs including MS Word and Excel needed.Prior experience utilizing Adobe Acrobat a plus. Responsible for billing a minimum of 1600 hours of client-related projects and other credited work. Communicates, corresponds and interacts with clients and outside entities, such as government agencies, expert witnesses, corporations and other law firms to gather information or data. Should have bachelors degree from a top-ranked institution. Reviews client billing for accuracy; edits content/grammar using the firms billing application. Performs administrative functions such as preparing check requests for vendor statements, expense reports and other administrative tasks. Organize and schedule small and large meetings in person and/or via conference calls which may include arranging for conference rooms and meals. Maintains Outlook Calendars. Makes travel arrangements utilizing the firm travel agency. Works with attorneys to monitor incoming fax and email regarding clients matters and manages incoming and outgoing faxes and emails for digital filing following firm procedures. Maintains accurate and up-to-date databases such as name/address lists, client/matter numbers; and marketing databases such as the firms global CRM system. Follows firm procedures to open new business following established New Business Intake procedures. Maintains and updates client files following local office electronic filing system procedures. Participates in office secretarial team leader and back-up system for absence coverage. Performs any other administrative tasks as may be assigned by the attorneys or Business Manager. The candidate have a High School Diploma or equivalent is required. College degree or equivalent experience is preferred. Must have 3-5 years experience as a legal secretary in order to be familiar with court rules, procedures, calendaring requirements to allow incumbent to perform litigation and administrative duties in a professional services setting. Should have ability to read and write in English in order to prepare routine office correspondence, pleadings and forms; Must have ability to proficiently use firm provided software programs for word processing, document management, timekeeping, business expense claims, check requests for vendor expenses (Ex: Microsoft Outlook, Word, Excel, Powerpoint; Digital File, Adobe Acrobat, DTE, Chrome River, Elite); Must be able to perform non-complex arithmetic calculations when verifying calculations on forms and documents and when maintaining records and files at a level normally acquired through high school or the equivalent.
