Finance and Real Estate Legal Secretary The candidate will provide responsibilities include: Provide administrative support to three or more timekeepers. Communicate, oral and written, in a clear and professional manner. Maintain timekeeper calendars, contact clients and counsel for the scheduling of appointments. Coordinate and make travel arrangements, complete expense reports and track reimbursements. Assist with timekeeping - enter time for timekeepers. Maintain client files - both paper and electronic. Assist attorneys in the review of billing statements. Assist attorneys with the audit responses and work with accounting to provide necessary information to complete such. Edit and proofread all documents as needed. Work with team in the preparation and filing of all court/government documents in accordance with each court's jurisdiction. Provide document production services in accordance with the requirements if assigned timekeepers. Assist timekeepers prepare for arbitration, depositions, hearings, mediation, and trials (prepare and organize binders). Perform conflict checks, file openings, and draft engagement letters. Report CLE completion affidavits to state and submit to AT for monitoring to CLE status. Perform other duties as assigned. Cover the receptionist desk, conference center, or other administrative departments as needed and at the direction of HR or the office manager as applicable. The candidate be proficient in Microsoft Office 2010 is preferred. Knowledge of court filings, court systems, and their guidelines is preferred. Have 2+ years' experience as a legal secretary is preferred. Must have high School diploma or GED certificate. Must have ability to handle oneself in a professional manner both internally and externally. Must have strong communication skills, both oral and written. Must upholds confidentiality for client work. Must have ability to pay close attention to detail, under deadline constraints and changing work priorities, and complete work assignments logically and accurately. Must have proven ability to be flexible, be customer service oriented, and work both independently and as part of a team. Must have outstanding proofreading, typing and organizational skills. Must have willingness and desire to learn and to both maintain and increase technical skill sets.
