Maintain team and court calendars and keep attorneys aware of scheduled events and approaching deadlines. Schedule meetings, conference calls, assist with travel arrangements when necessary and reserve conference rooms. Communicate by phone and email with clients, maintaining professionalism and a high level of customer service and professionalism at all times. Schedule depositions. Enter time and handle billing for assigned timekeepers. Assist in trial preparation. Maintain files on a regular basis. Coordinate travel arrangements and processing expense reports. Answer and handle incoming phone calls in a professional manner. Assist fellow workers and/or other timekeepers as needed and requested. The candidate must have 3+ years of experience as a Litigation Legal Secretary in a law firm and have very strong MS Word and Excel skills, and type at least 60 wpm. High School diploma required, Bachelor's degree preferred. Must be self-motivated and able to prioritize, have a high level of organizational skills and possess a strong work ethic. Utilizing direct time & billing systems to submit attorney/paralegal time to Accounting and prepare client invoices. Reading, sorting and dating all incoming mail (electronic or paper), forwarding outgoing documents on a timely basis. Processing all expenses for attorneys/paralegals, utilizing Firm standard software. Maintaining open communication with attorney and/or paralegal assigned to and other team members on the status and quality of all work in progress. Arranging for assistance from administrative staff departments (document processing, photocopy, facsimile, mail room personnel and accounting) as necessary to complete work assigned. Acting as liaison for new attorneys in the on boarding process by conducting orientation on Firm/departmental procedures. Performing other duties as assigned. The candidate should have a college degree and 1-2 years of related work experience.Technical abilities including MS Word and Excel, word processing skills at minimum of 65 wpm, familiarity with standard office equipment (photocopy & facsimile), time and billing and document management systems within network environment also required.Additional technical skills may be required based upon attorney/paralegal and/or practice group needs.Excellent communication and interpersonal skills required.Individual must be dependable, responsible and possess the ability to work independently, and remain diplomatic when dealing with all Firm personnel.The ability to perform repetitive motions (typing and filing), as well as keying in large amounts of data into the computer for extended periods of time is essential. Although the partners are increasingly conscious of the billable hours of their associates, they are generally accessible. In particular, several of the litigation partners bring in high level litigation work and remain very involved throughout to monitor and guide the associates participation.
Litigation Legal Secretary The candidate answers telephone calls and takes accurate and complete messages, gives information to callers, refers to others, or holds for team members. Provides relevant and timely information to clients and team members (including times when they are out of the office) in a professional, courteous, and effective manner. Retrieves voice mail messages, arranges conference calls. Prepares accurate, error-free, and properly formatted legal papers, pleadings and correspondence from dictation, tapes, or handwritten drafts. Compile, type, revise, combine, edit, print, and store documents. Compiles materials to be typed following written or oral instructions from supervisor or person requesting document to determine format desired, number of copies needed, priority, and other requirements. Reads instructions and accompanying material, or follows verbal instructions from supervisor or person requesting document to determine format and content required. Establishes spacing, margins, type size, style and color, and other parameters, using computer and word processing software. Types, revises, and combines material such as correspondence, reports, records, forms, minutes of meetings, scientific or technical material, numerical data, and tabular information from rough draft, corrected copy, recorded voice dictation, or previous version. Checks completed document for spelling errors, using software. Proofreads and edits documents for grammar, spelling, punctuation, and format. Corrects errors. Inputs data for revision or editing. Files documents and emails in the Firm s electronic document software. Distributes correspondence using scanning, PDF, email or hard copy delivery. May compile and type statistical reports. Inputs team member s time entries on a daily basis. Opens new client and/or matter numbers; performs conflict checks; demands pre bill selection of monthly bills for attorney review; makes appropriate transfers, write-offs, and corrections; applies retainers, on account fees, and on account disbursements for third-party billings; handles special billing requests from clients i.e., travel detail, special billing formats; copies, mails and forwards copies of finalized bills to Accounting Department; maintains billing files; receives, copies, files and submits client checks to Accounting Department; prepares client audit reports; acts as liaison with Accounting Department on past due receivables. Schedules appointments, including meetings, conferences, court dates, and depositions for team members. Coordinates work flow and prioritizes work so that all deadlines can be met. Arranges travel schedule and reservations for team members. Reserves conference room(s) for meetings; arranges for special equipment, and coordinates catering services. Reviews, prioritizes, and routes incoming mail. Prepares outgoing mail and overnight packages using the postage-metering machine, scale, and Federal Express Power ship. Coordinates messenger pickups and deliveries. Maintains current and orderly files according to Firm guidelines, including, but not limited to client files, chronological, administrative, materials for closings, court filings, and ongoing cases. Provides quick retrieval of information, general document control, and updates materials. Closes files and sends to storage following Firm policy. The candidate should have a High School Diploma, Bachelor's Degree is preferred. Must have 5 to 7 years of heavy litigation experience in a large law firm environment. Ability to e-file with various U.S. Federal District Courts, including filing documents under seal required. Should have knowledge of both U.S. District and State court rules of court. Knowledge of court procedures, application of local rules, and docketing a must. Familiarity with the preparation of litigation documents, especially Tables of Contents and Tables of Authorities preferred. Advanced knowledge of MS Office Suite required.
