Legal Secretary-Real Estate/Corporate The candidate will interact with colleagues in a team setting and upholds the image of the Firm by maintaining positive contact with clients, attorneys and staff, and observing confidentiality of client matters. Draft addendums to real estate contracts. Schedule and coordinate real estate closings with attorneys, lenders and title company and brokers (if any). Order and review title / surveys and underline title documents. Prepare escrow instructions. Create and maintain closing files / organize closing binders. Coordinate filing of corporate documents with clients. Proofread documents and checks for appropriate formatting, spelling and grammar. Verify all attachments, exhibits and enclosures are included with transmittal letters/memos. Maintain good public relations with clients. Receive, review and print electronic faxes. Deliver paper faxes as necessary. Sort, date and read incoming mail. Prepare documents and packages for mail, messenger and overnight delivery. Complete client/matter forms. Request conflicts of interest checks. Open new files. Maintain all client and general files. Conduct periodic review for possible storage of old files and prepares files to be closed. Prepare expense reports. Coordinate and follow through on requests and projects with other support departments (e.g., word processing, receptionists, file/document clerks, office services). Provide overflow assistance and secretarial support for Secretarial Team Members attorneys and paralegals. Other duties and projects as assigned. Screen telephone call, listen to voicemail and record messages. Schedule appointments and makes arrangements for meetings, conferences and travel. Maintain calendar, rolodex and deadline reminder systems. Enter attorney time, sends time entry reminders and tracks entries. Receive clients and visitors. Review and print e-mail messages. Process client billing. Review and edit bills as necessary. The candidate must have High school diploma. Additional education is desired. 5+ years of secretarial experience in a legal environment is required. Must have typing speed/accuracy: 65 wpm with 95% accuracy, excellent shorthand skills. Proficiency in Microsoft Programs (Word, Outlook, Excel). Legal citation and legal terminology expertise is needed. Should have excellent grammatical and spelling skills. Familiarity with Carpe Diem, Elite, DeltaView, DocsOpen or similar technology.
