Conducts internet research as directed by attorneys. Interacts on a daily basis with departments within the Firm to facilitate highest possible legal support to assignments and clients, including Accounting (check requests); General Services (mail, FedEx, UPS, messengers); Conference Center/Catering (scheduling/arranging meetings and requested accommodations); Calendar Court Services; Reprographics Department; Digital Services, etc. Uses word processing and document management software (Microsoft Office 2010, including PowerPoint & Excel, Workshare Compare, Adobe, DMS, etc.) to prepare and revise, format and finalize a wide variety of documents, including correspondence, memoranda, and legal materials. In conjunction with the preparation of such documents, the Legal Secretary is responsible for proofreading, correctly formatting and questioning any inconsistencies in all materials. Transcribes dictation, minutes of meetings or taped records of conferences and meetings. Establishes and maintains paper and electronic files in compliance with current firm policies utilizing the Firms LegalKEY system and Document Management System. Provides assistance to other Legal Secretaries within assigned teams whenever necessary to meet Firm and client needs; organizes and prioritizes workload so as to most efficiently enable and facilitate team effort to accomplish Firm and client goals. Fosters professional, cooperative and supportive relationships with peers, superiors and clients. Anticipates and identifies clients /colleagues current and future needs. Shares information and offers ideas and solutions in a team environment. Exhibits professionalism by recognizing and adhering to all Firm policies, including attendance guidelines, dress code, security measures, and confidentiality requirements. Maintains positive, professional, courteous and flexible demeanor when dealing with clients and colleagues. Performs complex legal secretarial activities which may be highly confidential and sensitive, and require discretion and diplomacy. Reports directly to the Secertarials Services Manager. On a day-to-day basis, works primarily under the direction of an assigned group of Attorneys and/or Paralegals. In addition, works in a team situation with Legal Secretaries to most effectively and efficiently meet Firm/client needs. The candidate must have 2+ years of legal secretarial experience in the corporate area. Investement Funds preferred. Advanced proficiency in MS Word and formatting documents with a minimum typing speed of 55+ words per minute required. Adobe, PowerPoint and Excel experience are a plus. High School Diploma required. Legal Secretary-Real Estate/Corporate The candidate will interact with colleagues in a team setting and upholds the image of the Firm by maintaining positive contact with clients, attorneys and staff, and observing confidentiality of client matters. Draft addendums to real estate contracts. Schedule and coordinate real estate closings with attorneys, lenders and title company and brokers (if any). Order and review title / surveys and underline title documents. Prepare escrow instructions. Create and maintain closing files / organize closing binders. Coordinate filing of corporate documents with clients. Proofread documents and checks for appropriate formatting, spelling and grammar. Verify all attachments, exhibits and enclosures are included with transmittal letters/memos. Maintain good public relations with clients. Receive, review and print electronic faxes. Deliver paper faxes as necessary. Sort, date and read incoming mail. Prepare documents and packages for mail, messenger and overnight delivery. Complete client/matter forms. Request conflicts of interest checks. Open new files. Maintain all client and general files. Conduct periodic review for possible storage of old files and prepares files to be closed. Prepare expense reports. Coordinate and follow through on requests and projects with other support departments (e.g., word processing, receptionists, file/document clerks, office services). Provide overflow assistance and secretarial support for Secretarial Team Members attorneys and paralegals. Other duties and projects as assigned. Screen telephone call, listen to voicemail and record messages. Schedule appointments and makes arrangements for meetings, conferences and travel. Maintain calendar, rolodex and deadline reminder systems. Enter attorney time, sends time entry reminders and tracks entries. Receive clients and visitors. Review and print e-mail messages. Process client billing. Review and edit bills as necessary. The candidate must have High school diploma. Additional education is desired. 5+ years of secretarial experience in a legal environment is required. Must have typing speed/accuracy: 65 wpm with 95% accuracy, excellent shorthand skills. Proficiency in Microsoft Programs (Word, Outlook, Excel). Legal citation and legal terminology expertise is needed. Should have excellent grammatical and spelling skills.
