Real Estate Litigation Legal Secretary Duties: Performs a variety of duties to assist attorneys to whom assigned according to established policies and procedures. Maintains positive contact with clients and observes confidentiality of client matters. Organizes and maintains case files, pleadings and other documents and attorney notebooks. Summarizes articles, reports, witness statements and depositions. Keeps accurate time records. Follows the ethical requirements as set forth by the Rules of Professional Conduct of the state. Reviews and analyzes cases in order to assist in preparation of case for trial. Reviews and analyzes matters for the purpose of preparing matter evaluations and status reports to clients. Drafts complaints and answers, routine notices, affidavits, motions and petitions. Establishes, organizes and maintains pleading boards, attorney trial notebooks, expert witness notebooks, document indexes and lists. Locates and confers with expert witnesses and resource people. Arranges for expert witness inspections and obtains approval from counsel of record and specified parties. Conducts research and locates cases, depositions, opinions, reports and information related to the matter. Contacts and interviews parties, witnesses and experts, including the obtaining of written statements from witnesses. Reviews and outlines depositions, indexes and summarizes documents. Utilizes computerized litigation techniques and software when applicable. Assists in preparation of the case for trial by drafting and preparing: Pre-trial Orders, Form Assists in the trial of the case including scheduling of witnesses controls and tracks exhibits. Performs assigned legal research tasks using all available resources including libraries and computer data systems. Qualifications: 4+ years on the job experience in order to gain expertise needed to do substantive legal support work. Knowledge of legal principles and practices at a level normally acquired through formal paralegal training or its equivalent. Ability to organize and prioritize numerous tasks and complete them under time constraints. Ability to concentrate and pay close attention to detail for up to 80 percent of the work time when evaluating legal matters. Ability to proofread typed material for contextual, grammatical, typographical or spelling errors. Interpersonal skills necessary in order to communicate in person, by e-mail and telephone and follow the instruction effectively from a diverse group of clients, attorneys and staff and provide information with ordinary courtesy and tact. Work occasionally requires a high level of mental effort and strain while organizing and maintaining multiple cases. Ability to retrieve and distribute print volumes, push and pull packages, and books weighing up to 20 pounds and ability to retrieve and replace objects from shelves of up to 8 feet high. Work occasionally requires more than 40 hours per week to perform the essential duties of the position; may require irregular hours. Ability to operate standard office equipment such as computer, photocopiers, fax machines, and typewriter. Ability to travel to private and public buildings, locally and statewide, via private or public conveyance to assist attorney in attending to client needs on legal matters.
