Finance/Real Estate Practice Group Assistant/Legal Secretary The candidate will provide general secretarial assistance and assist attorneys in the assembly, organization and preparation of closings documents and closing binders. General secretarial assistance including, but not limited to, prepare correspondence, memoranda and other legal documents from written and oral drafts, standard correspondence and other documents. Assist attorneys in copying, assembling and transmitting draft closing documents for HUD submission, obtaining document extension and organization and assembly of documents for closing. Preparation and distribution of binders and CDs to lenders, borrowers/borrowers counsel and HUD. Organize and update closing files. Assist in managing the post-closing checklists. Perform all other tasks on Post-Closing Pending Projects Schedule. Perform general Practice Group administrative work on an as-needed basis. Perform time entry and calendaring for attorneys. Review bills and prepare cover letters for bills sent to clients. Make travel arrangements and prepare expense reports for attorneys. Enter invoices into Chrome River for payment. Open new files, request conflict of interest checks, maintain client and general file, conduct periodic review of possible storage of older files and prepare files to be closed. Perform pdf scanning of documents as required. Screen telephone calls, read, sort and date incoming mail and ensure timely delivery of outgoing mail. Qualifications: High school diploma or equivalent required. 1-3 years of experience in similar field required. Previous law firm experience preferred. General transactional experience. Excellent spelling and proofreading skills, including the ability to analyze legal documents for accuracy. Advanced Microsoft Word skills. Proficient Microsoft Excel and PowerPoint skills. Typing (50+ wpm). Working knowledge of internet navigation . Ability to organize, prioritize and produce quality work. Ability to effectively multi-task. Excellent interpersonal communication skills, both verbal and written. Adaptable to changing demands from multiple people. Detail and deadline oriented with strong follow up skills. Self-motivated and flexible in order to complete assignments in a timely manner.
