Copy, distribute, send (electronically and/or via mail, courier or express service), file and otherwise handle completed work. Use of a typewriter may be necessary for certain assignments. Proofread and redline work for accuracy of copy, format, grammar, punctuation and syntax. Receive, screen and transmit telephone calls, conference calls and messages to/from attorneys, clients and staff. Handle incoming and outgoing mail. Perform secretarial functions associated with firm administrative tasks, including processing new client/matter requests, client bills, time reports and expense reports. Set up and maintain files. Coordinate conferences, meetings and appointments. Coordinate travel arrangements, securing air and ground transportation and hotel accommodations. Coordinate work as needed with office, firm and third-party service departments, including Document Services, IT, Mail Room, Duplicating, Facilities, Conference Services, and Finance. Provide secretarial assistance to visitors, summer associates and attorneys whose secretaries are absent. Accept overflow work from other secretaries as needed. Requirements: High School Diploma or equivalent. 5+ years of secretarial experience supporting partner level attorneys. Specialized secretarial degree, associate and/or bachelor's degree desirable. Congressional and policy experience is preferred. Ability to read, write and speak English. Ability to type 70 wpm with accuracy. Thorough knowledge of MS Office applications including Word 10 and Outlook, as well as Adobe Professional. Proficiency in eFiling and all court procedures. Ability to produce TOCs and TOAs manually & accurately. Thorough knowledge of the proper preparation of time records, expense reports, client bills and conflict-checking forms (if applicable to position). Shorthand or fast notes (if applicable to position). Excellent written and oral communication skills, including grammar, spelling and punctuation. Ability to read, comprehend and follow instructions. Thorough familiarity with legal terminology pertinent to general legal concepts and specific areas of assignment. Proficiency with advanced telephone functions, including conference calling and voicemail. Excellent telephone manner. Familiarity with legal filing and record-keeping practices. Strong organizational skills. Ability to perform clerical tasks with a high degree of accuracy. Handles reimbursement of other firm and client related expenses, such as telephone calls, entertainment, recruiting, etc, using the electronic Accounting system. Maintains calendar of meetings and appointments, and apprises attorneys of responsibilities in advance of commitment. Plans and coordinates internal committee meetings, firm-wide practice group meetings, associate training conferences, and client meetings. Receives, screens and transmits telephone calls to attorneys and takes messages as necessary, with recognition of and attention to the particular needs of clients. Schedules conference calls for attorneys. Creates, maintains and updates all client litigation files on a daily basis in accordance with standards set by the Records Management Center and maintains other files as needed. Must have thorough knowledge of indexing litigation files. Maintains current files for all correspondence. Facilitates work with Billing Department to coordinate client bills, generate monthly internal utilization reports, provide monthly and/or quarterly estimate reporting data, analyze billing data, and respond to miscellaneous client inquiries/requests. Processes new client/matter reports and conflict of interest checks. Performs other job-related duties such as processing new business forms, new client/matter reports and conflict of interest checks, compiling notebooks and exhibits, and preparing documents in connection with bar association activities. Also, performs other administrative tasks as needed. Inputs daily diaries for attorneys in computerized Time Billing System, and proofreads and edits time diaries for accuracy. Proofreads and revise all documents, including engagement letters, PowerPoint presentations, memoranda, audit letters, client deliverables, and other correspondence, etc., for accuracy of copy, grammar, punctuation and syntax, and drafts correspondence as requested. Coordinates work performed by Support Services for prompt production and delivery of documents. Prepares documents for transmittal via the Firm's electronic fax system and e-mail transfer. Processes incoming and outgoing mail according to attorney's guidelines and distributes promptly upon receipt. Reviews practice group business periodicals for relevant articles and distribution. Retrieves cases and other related legal documentation from the library and makes copies. Prepares legal papers and correspondence such as briefs, letters, memoranda, tables, charts/spreadsheets, complaints, and motions. The candidate should have high School Diploma or general education degree (GED). Must have 3+ years of related work experience and/or training; or equivalent combination of education and experience.
