Legal Secretary The candidate's duties include: Coordinate meeting logistics; Manage heavy scheduling; Effectively communicate with clients; Manage client billing process; involved in collections responsibilities; Edit, proofread, and redline documents and correspondence for accuracy, grammar and formatting; Organize and maintain attorney contacts and calendars, including travel logistics; Open new client matters and coordinate process; Screen incoming calls; Manage attorney time entry; Organize and maintain paper and electronic files in accordance with Firm records retention policies. High school diploma required. College degree preferred. 2 years of related work experience required. Knowledge of Microsoft Office Suite (Excel, Outlook, PowerPoint and Word) required. Answer multiple phone lines; screen and direct calls them as appropriate. Maintain calendars, schedule meetings, and arrange conference/teleconference calls. Make arrangements for travel, transportation and accommodations via Internet and/or through the Firm's travel department. Process expenses through Firm expense application (Chrome River). Prepare attorney diaries through Firm diary application (Intapp). Utilize various office machines to transmit data, print, duplicate, fax and PDF. Create and maintain attorney files using alphanumeric systems. Coordinate with Conference Services when scheduling meetings for room reservations, food/beverages and audio/visual equipment needs. Prepare and process client bills, working closely with Billing department. Create, revise and proofread letters and various legal documents. Provide backup coverage for other assistants and receptionists. Perform other duties as assigned. Should have ability to effectively present information verbally and in writing. Proficiency in Microsoft Word and Excel. Basic knowledge of Microsoft PowerPoint. 1 to 2 years of administrative experience in an office or professional services setting is preferred. Support includes assisting attorneys with legal and administrative tasks such as time entry/billing, calendaring, travel arrangements, opening and closing of files, meeting/conference scheduling, document management, e-filing in both state and federal courts, and other special projects. The ideal candidate will have experience working in both litigation and corporate practice groups and be proficient in Microsoft Office 2016. Prepares legal documents and correspondence from draft. Manage documents: upload documents to the document management system(DMS); scan, save to DMS and distribute matter-related hard copy correspondence. Organize and maintain matter files, retrieve matter files, and prepare files for closing in accordance with Records Department procedures. Prepare and submit expenses and invoices for payment and submit check requests as needed. Enter attorneys time into time management system accurately and as needed; verify client/matter numbers and practice codes. Manages attorneys calendars, coordinates meetings, schedules conference rooms, and makes travel arrangements as required. Qualifications: Requires high school diploma or GED (Bachelor's degree preferred) and 3-5 years of litigation assistant experience or an equivalent combination of education and experience. Excellent planning and organizational skills. Experience e-filing in both state and federal courts is a must. Draft, create and update various attorney documents such as docket sheets and case file logs. Organize, prepare and maintain client and office files both in electronic and paper filing systems. Open and sort incoming communications via standard or electronic delivery and distribute appropriately. Process attorney weekly time summaries, expense reports, check requests and travel arrangements which include transportation, automobile rentals, and hotel reservations. Typing skills of 75+ w.p.m. Must possess strong organizational and communications skills, both verbal and written. Must be very detail oriented and able to multi-task. Strong document processing and project management skills. Proficient in advanced levels of Microsoft Outlook, Excel and Word and the use and application of Styles, Redlining, Adobe Pro and PDF Docs4. Must be able to operate the firm's software applications on an advanced level within a reasonable period of time, and possess excellent reading comprehension and proofreading skills. Outstanding written and verbal communications and able to professionally interact with clients, attorneys, and staff is required. Experience with document management program iManage DeskSite preferred.
