Legal Secretary (Litigation) The candidate will support approximately five attorneys in the Washington, DC office. Generate, prepare, and organize documentation and forms requisite to the litigation practice area, such as briefs, subpoenas, motions, notices, orders, interrogatories, tables of authority, extensions of time, etc. File legal documents in federal and state courts, including e-filing in all courts and agencies; prepare documents for service of process; prepare case shell documents for use by attorneys. Maintain knowledge of electronic court filing procedures. Ensure all pertinent dates are docketed and index all pleadings. Date stamp incoming mail, pleadings, deposition notices, etc. ensuring documentation with deadlines are docketed and calendared. Assist with trial preparation, depositions, and other litigation related responsibilities. Create, edit, and compile large, complex, heavily formatted documents as well as prepare correspondence, memoranda, and other legal documents from draft or dictated text utilizing Microsoft Word. Assist in the organization and preparation of closing binders, including maintenance of electronic file rooms for access by third parties. Proofread documents and check for appropriate formatting, spelling and grammar. Enter attorney's time utilizing the Firm's time entry software on a daily basis.Maintain excellent public relations with clients. Receive, sort, and distribute incoming mail. Process outgoing mail to assure timely delivery. File mail in client/case files, as necessary. Open new client matters and request conflict of interest checks. Generate new files and maintain client and general files assuring that filing is kept current. Prepare files to be closed utilizing proper records storage procedures. Conduct periodic reviews of inactive files for possible storage of files. Maintain up-to-date listing of client/matter names and numbers for each attorney. Make travel arrangements, prepare itineraries, and compile documents for travel-related meetings. Coordinate and follow through on requests and projects with other support departments (e.g., word processing, receptionists, file/document clerks, office services). Maintain knowledge of Firm operating procedures, departments, and support areas. Provide overflow and absence coverage assistance as well as secretarial support for Secretarial Team Members attorneys. The candidate should have 5 years of legal secretarial experience. Prior experience in the Litigation practice area of law with applicable knowledge of court filings is a plus. Excellent troubleshooting, problem resolution, and follow through skills in order to oversee and complete assignments/tasks from inception to completion. Organizational skills including record keeping, data collection, and system information. Familiarity with Carpe Diem, Elite, iManage, Chrome River, Forte, Workshare Compare and similar technology. Strong proofreading skills, attention to detail and solid grammar/spelling skills. High degree of proficiency with Microsoft programs (Word, Outlook, Excel) Legal citation and legal terminology expertise. Flexibility to work overtime occasionally. Good attendance and punctuality. Previous experience working as a litigation assistant, legal assistant and/or paralegal (including extensive experience with state and federal court filings, drafting pleadings and discovery, and document review). Must have exceptional technical skills and an advanced-level working knowledge of the MS Office Suite including Outlook, Word, Excel and PowerPoint. Must possess working knowledge of Federal and State court rules and electronic filing processes and procedures (i.e., Pacer, File and Serve, etc.), related agency filings and docketing. Proven proficiency using legal terminology and experience working in the related practice area(s). Must exhibit a high degree of initiative in managing multiple priorities simultaneously in a fast-paced, high-pressure, deadline-driven and detail-oriented work environment utilizing excellent judgment, initiative, decision-making skills and the ability to work independently. Ability to effectively gather and summarize information to complete tasks. Paralegal The candidate will support attorneys in a wide range of complex legal projects and tasks, primarily as relates to all phases of the antitrust and intellectual property litigation process, including research, discovery, summary judgment, Markman, mediation, arbitration, trial, and appeals. Conduct factual and legal research, compiling results in an organized manner. Prepare court filings, including proofreading, cite-checking, and compilation of declarations, exhibits & appendices. Perform electronic filing in various courts and agencies. Maintain case calendars with firm docketing software. Manage/prepare communications and document transmission with outside counsel. Maintain litigation/case files including document organization and retrieval, document production and Bates labeling; retrieval and review of documents and expert reports. Assist with complex discovery projects including, but not limited to, document review and production, deposition prep and privilege logs.
