Commercial Real Estate Paralegal Manager The candidate will review daily reports and oversee daily workflow of the commercial group to ensure group is on track to meet or exceed upcoming deadlines and the expectations of clients. Monitor calendar daily to ensure all deadlines are met and closings are on track to meet scheduled closing date and time. Ensure workload of staff is equitably assigned; reassign work when necessary and determine work priorities as needed. Participate in weekly practice meetings led by partner and prepare reports as requested for meetings which will identify upcoming deadlines, workload/workflow and transactions for the upcoming week. Undertake direct, hands on supervision as required. Provide orientation to the firm's systems and procedures for newly hired staff, as needed. Assists managing partner with evaluating, determining, developing and implementing procedures necessary to meet the work of the department. Review contracts, amendments, leases and other pertinent documents to determine due diligence and other deadlines specific to the transaction. Order and/or obtain all due diligence materials and items required for closing pursuant to contract. Track all items required at various stages throughout the process and ensure all deadlines are met. Collaborate with multiple parties throughout the transaction, including clients, local counsel, lenders, title companies, surveyors. Prepare title commitment, settlement statement and closing documents for closing. Organize and coordinate document signings with clients and other parties. Organize, prepare and efile documents after closing. Prepare title insurance policies and endorsements as required. Perform all post closing functions related to the distribution of recorded documents, title insurance policies and other contract/closing requirements. Prepare and file entity organizational, amendatory, and dissolution/termination documents; prepare and file foreign qualifications and withdrawals. Ability to organize and prioritize numerous tasks and complete them under time constraints. Ability to identify and analyze issues and problems and to recommend and implement solutions. Interpersonal skills necessary in order to maintain effective relationships with attorneys, staff members and clients in person, by e-mail and by telephone. Ability to manage staff and facilitate individual and group meetings dealing with flow of work.
