Legal Secretary Litigation The candidate will type, transcribe and revise all communications and legal documents including memoranda, correspondence, legal documents, charts, and tables using various word processing software. Proofread all work for both content and context. Manage attorney phone calls, including receiving/screening calls and setting up conference calls. Open, organize, prepare and maintain client and office files both in electronic and paper filing systems. Use the firm's docketing program. Enter all required scheduling and dates in the program. Draft, create and update various attorney documents such as docket sheets and case file logs. Process attorney weekly time summaries and expense reports and meet the weekly deadline for reporting such items to ensure that attorney records are processed promptly. Coordinate, schedule, and docket/calendar meetings, court reporters, conference calls, and client tasks. Make extensive travel arrangements. Organize and maintain electronic files. Prepare for and complete Knowledge. Checks every quarter. The candidate should a High School Diploma or its equivalent. Should have 5+ years of legal and/or executive secretarial, and experience in and/or understanding of Commercial Litigation, Insurance Defense, Insurance Coverage, and Subrogation experience. Experience with filing in both state and federal courts with efile.txcourts.gov or similar mandated filing vendor for state filings and CM/ECF for federal filings. should preferably have an extensive working knowledge of software applications as tools to complete assigned tasks, including, but not limited to I Manage/Desk Site/Work Site, Word, PowerPoint, Excel, InTapp, Big Hand, Docket Enterprise, DTE, Chrome River. Must be proficient in advanced levels of Microsoft Outlook, Excel, and Word and the use and application of Styles, Redlining, Adobe Pro, and PDF Docs4, or must be able to operate the Firm's software applications on an advanced level within a reasonable period. Must have typing skills of 75+ w.p.m. be familiar with setting up and processing Tables of Content and Tables of Authorities. Must have detail-oriented with strong organizational skills and the ability to multitask. Strong Project management skills are required. Must have outstanding written and verbal communications. Must be able to interact with clients, attorneys, and staff professionally. Assignments may change from time to time, and flexibility is essential. Secretaries are expected to extend support and service to primary attorneys and any attorney within the Litigation practice and the office.
