Legal Secretary / Assistant - Corporate The candidate will assist in all aspects of the transactional practice including the preparation of various transactional documents, signature page packets, minute books and stock certificates. Provide day to day legal and executive support of the corporate department. Assist with managing databases and running reports. Process time entry, open new matters, draft engagement letters and audit responses, make travel arrangements, process reimbursement expenses, maintain calendars, organize and coordinate meetings and conferences. Maintain client files; review and prepare billing invoices and other administrative duties. Create and revise client documents, spreadsheets and forms from drafts, originals or dictation. Create and maintain corporate minute books. Answer and screen telephone calls for work group. Prepare and submit conflicts check forms, screening forms and new matter request forms. Exercise excellent judgment to determine priority level of work assigned on a daily basis; assure high priority items are completed in a timely matter. Assist other secretaries with work overflow. Must have High school diploma or G.E.D. equivalent. Should have 2+ years of Legal Secretary or administrative experience working in a large law firm or office setting. Accurate typing skills of 50 wpm is needed. Exemplary communication skills and capable of initiating, drafting, editing and finalizing correspondence is must. Strong document handling skills, applied through Microsoft Office Suite and Adobe Acrobat is essential. Knowledge of Corporate Focus, CapMx, Box.net, Elite Webview, DocuSign, PowerPoint is preferred.
