This DC office is an outpost of a major New York firm, but don't worry; the atmosphere is anything but cutthroat. Patent Legal Secretary Responsibilities: Create, edit, format and produce Word, Excel, Adobe, and PowerPoint documents. Support and assist patent attorneys, technology specialists and paralegals with all legal and administrative work related to patent applications, Information Disclosure Statements, Assignments, Responses, Amendment to Claims and all documentation associated with correspondence to the United States Patent and Trademark Office. Prepare correspondence to foreign associates relating to foreign patent applications. Communicate with clients, the United States Patent and Trademark Office and foreign associates to ensure applications are filed accurately and timely. Maintain patent portfolios. Assist with creation, editing and finalization of licensing documents. Provide assistance with ongoing projects to ensure consistency and accuracy. Provide telephone coverage to assigned attorneys and technology specialists, as well as other lawyers in the department. Create new business forms. Complete and submit Expense Forms and Check Requests in a timely manner. Assist with technical tasks such as the maintenance of paperless files through Firms document management system, iManage. Arrange for travel, seminars, conferences, etc. Manage lawyer calendar appointments for client meetings, and conference calls. Assist with time entries and billing. Work as part of a secretarial floor team to provide assistance to all lawyers. Provide overflow support to secretarial team support. Qualifications: Bachelor's Degree required. 2 years of patent prosecution experience in a supporting role. Ability to maintain confidentiality dealing with sensitive information and client matters. Ability to meet deadlines with minimal supervision and to work analytically, as well as the capability to work both independently and as part of the team. Ability to maintain composure in a high-pressure, fast paced environment. Exacting attention to detail with excellent prioritizing skills. Professional demeanor and superb organizational skills. Quickly and proactively identify and analyze problems, develop solutions, and deliver results. Flexibility and willingness to work on various assignments, with various attorneys and staff, including overtime as needed. Maintain composure in a high-pressure, fast paced environment. Strong written and verbal communication skills. Mastery of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) as well as Adobe, PACER, PATTSY, Get IPDL and various other software utilized in the Patent Prosecution Department. Familiarity with time and billing software.
