Create and forward formal documents to the client within a certain schedule to reduce a backlog of work. Prepare all administrative documents associated with USPTO patent filings for final review and approval by supervisory patent attorney and/or patent agent. Receive and act upon client instructions, including confirmation and/or draft response to client inquiries related to US, PCT and foreign applications. Reviews attorneys' client information and ensures that addresses, special instructions are being followed in accordance with the clients' standard operating procedures. Maintain client specific spreadsheets related to portfolio management, as appropriate. Create and maintain electronic worksheets to assist attorney in managing client needs. Provide support for Patent Trial and Appeal Board proceedings and appeals. Process assignments and name changes in the US and internationally. Draft routine correspondence and/or formal documents for filing at the USPTO for attorneys and others as needed, proofread, photocopy, scan documents into the firm's document management system and assemble correspondence as needed. Complete internal checklists such as a Notice of Allowance checklist. Maintain and prioritize work on a daily basis and communicate if unable to meet daily responsibilities. Utilize USPTO and other related government agency electronic resources effectively. Have willingness and flexibility to work closely with all departments and others as needed. Provide back-up support to other team members as needed, including IP Service Assistants and/or other IP Patent Paralegals if requested. Perform other duties as assigned for business needs. The candidate should preferably have a Bachelor's degree or equivalent specialized training (i.e., paralegal studies or certificate from an ABA recognized program). Must have 4+ years of progressive patent prosecution experience, including docket management, application filings and prosecution in order to gain an understanding to provide support and planning that will ensure a high quality and accurate work product. Familiarity with US and international patent law, including inter-partes matters is required. Law Firm is seeking an experienced professional to join their team. This position will support a minimum of four attorneys in all aspects of discovery and trial preparation. If you have knowledge and expertise regarding the legal system and substantive and procedural law, we want to hear from you. Job Responsibilities: - Meet the billable expectation of 1,600 hours per year - Work hand-in-hand with attorneys on case planning, development and management - Review and organize all records, documents and deposition testimony to ensure completeness of all file materials - Extensive document management - Draft correspondence, discovery, discovery responses, mediation and arbitration briefs, pleadings, motions, and reports upon request of attorney - Contact opposing counsel when discovery responses are not timely provided - Review and summarize information relevant to the case obtained through discovery requests, depositions and records - Coordinate and schedule depositions; prepare notices and subpoenas as needed - Coordinate with parties, witnesses and experts regarding interviews and meetings, including taking written statements if needed - Coordinate and attend site and document inspections, as required - Review all documents being produced for any privileged information and prepare privilege logs, as necessary - Attend team calendar meetings and make sure that all individuals involved in any case are aware of all calendar items - Schedule and notice IMEs - Conduct research through the library both manual and electronic, as needed - Assist in the preparation of the case for trial by drafting and preparing pre-trial documentation, including opening statements, jury questionnaires, jury instructions, and motions in limine; contacting witnesses and preparing subpoenas as necessary; prepare attorney trial notebooks, as well as witness/exhibit binders - In some cases, the paralegal will be required to attend trial and jury selection, as well as meetings with witnesses and experts - Coordinate and arrange for required fees to be paid during trial, including experts, jury and reporter fees - Act as liaison between attorney and clients, carriers, experts, witnesses and other counsel, when requested by attorney Finish - May provide computer litigation support Job Qualifications: - A minimum of five (5) years litigation experience in a legal environment - Paralegal certificate may be required based on region, state or client requirements - Ability to operate required automated equipment, including computers, printers, fax machines, photocopiers, calculators and telephone system - Ability to exert up to 15 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects as needed - Ability to follow the ethical requirements as set forth by the Rules of the Court and State Bar - Knowledge of State/Federal court rules and procedures (including calendaring) - Proficiency in legal research, including the use of Lexis, Westlaw, CD-Rom services, Internet services and library materials, as well as factual research - Demonstrated ability to interact at a professional level with clients and attorneys - Effective communications and organization skills; detail-oriented - Effective planning, problem solving and analytical skills, ingenuity, judgment and administrative skills in managing practice areas - Ability to meet deadlines and work under pressure as required by deadlines, etc. - Ability to exhibit professionalism and promote positive work habits, including effective and timely communication, teamwork and respect for co-workers - Ability to communicate critical information by conveying that information clearly, accurately, honestly and concisely in accordance with firm policies and procedures - Ability to identify, coordinate and optimize resources needed to execute plans; modify goals and plans, when needed - Use systematic approach to problem solving and troubleshooting - Ability to strive to exceed goals and expectations - Ability to multi-task and prioritize, with little supervision; must be well organized - Ability to comply with safe work practices, including the use of safe work procedures, maintenance of a safe work area and the use of safety equipment - Ability to grasp and apply new ideas quickly and with minimal instruction - Ability to adapt to changing work situations - Computer literate - MS Office, CACI, legal research software Salary We offer a competitive salary and benefits package including a 401K with employer contribution. Salary The salary for this position is competitive and commensurate with experience. # Legal Secretary ## Overview Law firm is looking for an experienced Legal Secretary to work with a minimum of 3 attorneys and perform a variety of duties including but not limited to the preparation, editing and filing of various legal documents; transcription of correspondence; scheduling of appointments and calendaring; communicating with all necessary parties for the efficient handling of the desk and handling various other tasks as assigned by the attorneys or Office Administrator. This is a full-time position working 37.5 hours per week. We offer a competitive salary and benefits package including a 401K with employer contribution. ## Responsibilities - Work with a minimum of 3 attorneys - Perform secretary functions for attorneys requiring knowledge of format, procedures and legal terminology - Transcribe information from typed or handwritten notes, shorthand or dictation. Ensure that grammar, spelling and citations are accurate and formatted correctly - Prepare, edit, proofread and maintain a variety of legal documents, including but not limited to, correspondence, motions, subpoenas, opinions, complaints, declarations, discovery requests and pleadings associated with discovery and trial preparation - Schedule appointments, depositions conference calls, site inspections, medical examinations and various other appointments, including travel and company-related business for the attorneys assigned to the desk, as well as confirm prior to appointment, after scheduling. Order court reporters, interpreters, videographers and conference rooms, as needed - Prepare and process check requests, expense reimbursement requests, invoices, AP/AR information and other financial documents are required - Answer phones, assist callers when possible, take messages, check voice mail and return calls, prepare memorandum regarding call if appropriate, and all in a prompt manner - Handle all incoming and outgoing mail - Prepare filing for file maintenance by Records Department personnel - Open new matters and close files as required by attorneys associated with desk assignment - Maintain secretarial desk procedures and ensure Secretarial Manager/Office Manager has the most recent copy - Assist in overflow as needed - Reliable, consistent attendance in the office is required ## Qualifications Qualified candidates will have a minimum of three (3) years experience in a law office environment.
