Legal Secretary - Litigation The candidate will welcome guests and clients by greeting them in person or on the telephone; answering or directing inquiries. Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. Conserve attorneys time by reading, researching, reviewing, verifying, and routing correspondence, reports and legal documents; drafting letters and documents; collecting and analyzing information; initiating telecommunications; organizing client conferences, and attorney meetings; scheduling couriers, court reporters, expert witnesses, and other special functions; coordinating preparation of charts, graphs, and expense reports. Maintain attorney calendar by planning and scheduling conferences, teleconferences, dispositions, and travel; recording and monitoring court appearance dates, pleadings, and filing requirements; dockets court imposed deadlines. Represent attorney by communicating and obtaining information; following-up on delegated assignments; knowing when to act and when to refer matters to attorney. Assists in submission of billable time and reimbursable expenses; preparing invoices and communicating with clients concerning invoices. Maintain client confidence by keeping client/attorney information confidential. Utilize electronic filing and retrieval systems and supervises file clerks. Enhance department and organization reputation by accepting ownership for accomplishing new and different requests and special projects; exploring opportunities to add value to job accomplishments and make recommendations. The candidate should have High School Diploma required for this role. Should preferably have 2-4 years undergraduate degree or technical/trade school degree. Should have 3-5 years of experience and exposure working as a legal secretary in a law firm in the litigation group. Experience working with various practice and case management databases (iManage), and timekeeping and billing systems needed. Must possess excellent English communication skills with the ability to speak and write clearly and informatively and able to read and interpret information. Must be able to maintain confidentiality. Must be willing to work additional hours and weekends as required for the role. Should have working knowledge and experience of the law firm industry including office and department procedures, work flows and organization. Should have knowledge and experience with e-filing procedures. Should be able to effectively communicate with clients, court personnel, counsel, third parties, private investigators, medical providers, experts, etc., and maintains regular contact with all parties. Should do consistent follow-through and ability and flexibility to multi-task and effectively balance priorities and meet tight deadlines. Communicate well, shows teamwork effort, and collaborates well with everyone you come in contact with. Exceptional customer service and people skills and work within a team concept. Ability to work under the supervision of the assigned attorney(s) and provide support to the litigation group is needed.
