Legal Secretary - Litigation Duties: Draft correspondence and enclose documents to clients and attorneys of record, making requests and other routine administrative correspondence. Assist in client development initiatives including drafting correspondence, proofreading and assembling responses to RFPs and scanning and sending client requests for additional information. Prepare correspondence, memoranda and other legal documents from written and oral drafts under the supervision of a lawyer. Perform pdf scanning of documents, court e-filings and electronic pleading clips as required. Screen telephone calls and record accurate and complete messages for attorneys and paralegals. Receive clients and visitors. Maintain excellent customer service with clients. Observe confidentiality of attorney-client relationship. Read, sort, date and deliver incoming mail to the appropriate attorney in their preferred manner. Ensure that outgoing mail is delivered timely and according to specified types of delivery. Drafting form pleadings such as extensions of time and entries of appearances. Perform time entry and calendaring for attorneys and paralegals. Assist attorneys with draft cover letters and follow up correspondence relating to billing and collections. Ensure pleading clips, trial notebooks, speech materials, and other requested documents are prepared for attorney trips, deposition, client presentation or similar. Conduct travel arrangements, prepare expense reports for attorneys and enter vendor invoices into Chrome River for payment. Maintain client and general files; create files, conduct periodic review of files and prepare files that need to be closed. Ensure proper file labeling. Organize Bar admission and CLE for attorneys and assist in any certification forms. Administer calendar for the group including adding or deleting calendar items and communicating dates and times of meetings and conference calls to the lawyers in the group. Perform miscellaneous clerical tasks and assist other secretaries as requested by attorneys or Office Administrator. Qualifications: High school diploma or equivalent required. 3-5 years of litigation experience in a law firm required. Superb proofreading skills. Intermediate Microsoft Word skills. Typing (50+ wpm). Dictaphone skills. Knowledge of court filing procedure, including electronic filing. Customer Service focused. Working knowledge of internet navigation. Ability to effectively organize, prioritize and produce quality work. Ability to multi-task in a fast paced environment. Excellent interpersonal communication skills, both verbal and written. Adaptable to changing demands from multiple people. Detail and deadline oriented. Self-motivated and flexible in order to complete assignments in a timely manner.
