Corporate Legal Secretary/Administrative Assistant The candidate will oversee projects by managing files and documents, coordinating with support services and clients, expediting digital and physical document flow, maintaining schedules and deadlines, generating status reports, logs and indexes. Wil enter billable time in a client-relevant manner. Will support attorneys with practice in the areas of Corporate Law. Will assist with miscellaneous projects to meet transaction deadlines, including recordkeeping and document organization. Will prepare form documents for attorneys approval, proofread materials and maintain document control system. Will process complex expense reports ensuring adherence to firm policies. Will coordinate internal/external meetings and teleconferences across time zones. Will appropriately handle confidential information and communications, for example legal matters concerning sensitive business transactions. Will be a contributing member of the administrative team to ensure alignment, communication, teamwork and back-up. The candidate must have at least 2 years law firm experience in a corporate transaction environment. Should have specific experience with large law firm corporate department is a plus. Should have excellent administrative and organizational skills including thorough knowledge of standard office procedures, departmental organization and reporting structures. Must have proficiency with Microsoft Word, Excel, PowerPoint and Outlook (further training in the Microsoft Office suite will be provided from time to time). Must be proactive, efficient, client-focused and able to work under pressure with tight timelines. Must be able to exercise independent judgment and interact effectively with clients and law firm staff and attorneys. Must display a team-oriented approach and demonstrate excellent interpersonal and written/oral communication skills. Must possess initiative, discretion, good judgment, organizational ability as well as the ability to handle confidential information. Must be eager to learn new technologies and further develop existing technology skills.
