Litigation Legal Secretary Duties: Welcomes guests and clients by greeting them in person or on the telephone; answering or directing inquiries. Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. Conserves attorneys time by reading, researching, reviewing, verifying, and routing correspondence, reports and legal documents; drafting letters and documents; collecting and analyzing information; initiating telecommunications; organizing client conferences, and attorney meetings; scheduling couriers, court reporters, expert witnesses, and other special functions; coordinating preparation of charts, graphs, and expense reports. Maintains attorney calendar by planning and scheduling conferences, teleconferences, dispositions, and travel; recording and monitoring court appearance dates, pleadings, and filing requirements; dockets court-imposed deadlines. Represents attorney by communicating and obtaining information; following up on delegated assignments; knowing when to act and when to refer matters to an attorney. Assists in the submission of billable time and reimbursable expenses; preparing invoices and communicating with clients concerning invoices. Maintains client confidence by keeping client/attorney information confidential. Utilizes electronic filing and retrieval systems and supervises file clerks. Enhances department and organization reputation by accepting ownership for accomplishing new and different requests and special projects; exploring opportunities to add value to job accomplishments and making recommendations. Working knowledge and experience of the law firm industry including office and department procedures, workflows and organization. Knowledge and experience with e-filing procedures. Ability to effectively communicate with clients, court personnel, counsel, third parties, private investigators, medical providers, experts, etc., and maintain regular contact with all parties. Consistent follow-through and ability and flexibility to multi-task and effectively balance priorities and meet tight deadlines. Communicates well, shows teamwork effort, and collaborates well with everyone you come in contact with. Special projects as assigned.
