Litigation Legal Secretary The candidate will handle complex and specialized secretarial and clerical support activities related to the specific work and function of the timekeeper(s) in a timely and accurate manner. Provides secretarial support to assignments including, transcribing tapes, typing correspondence, reports, memoranda and/or other documents (i.e., briefs and other pleadings, wills, closing documents, electronic filing etc.), submitting same for review; revising, proofreading, assembling and distributing prepared material as necessary in an accurate and timely manner. Communicates properly and promptly with company personnel and external contacts at all times and must exhibit a high level of customer service. Reviews statements for billings received from the Accounting Department to clients for services rendered and completes complex clerical procedures in connection therewith. Originates correspondence as directed and assumes other responsibilities including, reviewing and routing incoming correspondence, scheduling appointments, creating and maintaining files and indexes, screening and routing telephone calls, and receiving and directing clients, preparing expense reports, as well as entering timekeepers as required. Develops and maintains well-organized and timely client files, resource materials and administrative files. Schedules and confirms appointments in a proactive manner.
The candidate must have a High School Diploma. Should have 1-3 years of legal secretarial experience. Must possess the ability to learn specialty law terms i.e. real estate, environmental litigation, etc. Must be able to handle many priorities at one time, work well with others and have excellent communication skills. Proficiency in Microsoft Word, Outlook and Excel are required. Must possess an excellent customer service attitude.
