Litigation Practice Assistant / Legal Secretary The candidate will support partners and associates who practice financial services and labor and employment litigation. Will be responsible for legal and administrative tasks, such as document creation, e-filing, opening and closing of files, time entry/billing, travel arrangements, meeting/conference scheduling and other special projects. Prepare legal documents and correspondence from draft or dictated text. Maintain client and firm files. Open and close files according to Records Department procedures. Manage attorneys' calendars, coordinate meetings, schedule conference rooms, and make travel arrangements as required. Assist with billing process to include entering attorney time, reviewing pro formas (initiates transfers), editing and preparing draft/final bills and cover letters for clients. Prepare forms for expense reports, check requests, reprographic services, etc. Open, prioritize and distribute mail. Coordinate mailings, deliveries, copying and courthouse filings.
The candidate should have high school diploma or GED and 3-5 years of related legal experience or an equivalent combination of education and experience. Should preferably have 5+ years of litigation and labor and employment experience, as well as a proficiency in MS Office 2010. Excellent planning and organizational skills are required. Should be proficient in Word, Excel, Outlook, Chrome River, and Intapp (or other comparable time entry software). Excellent communication skills are essential.
