Corporate Legal Secretary The candidate performs a variety of secretarial and/or administrative duties for assigned attorneys. Interacts with colleagues in a team setting and upholds the image of the firm by maintaining positive contact with clients, attorneys and staff, and observing confidentiality of client matters. Inputs, revises and finalizes correspondence, audit letters, memoranda and other legal documents. Drafts routine correspondence, memoranda and other documents. Proofreads documents and checks for appropriate formatting, spelling and grammar. Verifies all attachments, exhibits and enclosures are included with transmittal letters/memos. Maintains good public relations with clients. Work with Document Management System (FileSite) to save documents, organize folder structures. Sorts, dates and reads incoming mail. Prepares documents and packages for mail, messenger and overnight delivery. Completes client/matter forms. Requests conflicts of interest checks. Opens new files. Maintains all client and general files. Conducts periodic review for possible storage of old files and prepares files to be closed. Prepares expense reports in Chrome River. Coordinates and follows through on requests and projects with other support departments (e.g., word processing, receptionists, file/document clerks, office services). Provides overflow assistance and secretarial support for Secretarial Team Members' attorneys and paralegals. Should be a high school graduate. Additional education is desired. Must have 10+ years of secretarial experience in a legal environment. Typing speed of 65 wpm with 95% accuracy is required. Proficiency in Microsoft Programs (Word, Outlook, Excel) needed. Legal citation and legal terminology expertise is essential. Excellent grammatical, proofing, and spelling skills are a must. Should have familiarity with Chrome River, Elite, Nuance Power PDF, Cisco Jabber, or similar technology.
