Fulfill the needs of the office in a manner which is consistent with the Firm s Core Values. Type and edit on the computer system legal and other documents (including correspondence, memoranda, bills, timesheets and project work) from transcription tapes, handwritten or typed materials. Copy, distribute, send (electronically and/or via mail, courier or express service), file and otherwise handle completed work. Proofread and redline work for accuracy of copy, format, grammar, punctuation and syntax. Receive, screen and transmit telephone calls, conference calls and messages to/from attorneys, clients and staff. Handle incoming and outgoing mail. Perform secretarial functions associated with firm administrative tasks, including processing new client/matter requests, client bills, time reports and expense reports. Set up and maintain files. Coordinate conferences, meetings and appointments. Coordinate travel arrangements, securing air and ground transportation and hotel accommodations. Coordinate work as needed with office, firm and third-party service departments, including Document Services, IT, Office Services, Facilities, Conference Services, Business Development, and Finance. Other Essential Duties (Duties are performed periodically, as necessary): Provide secretarial assistance to visitors, summer associates and attorneys whose secretaries are absent. Accept overflow work as assigned by the Office Administrator and other secretaries as needed. Requirements: High School Diploma or equivalent. 5+ years of legal secretarial experience required Experience in Business Transactions practice area required. Specialized secretarial degree, associate and/or Bachelor's degree desirable. Ability to read, write and speak English. Ability to type at 75+ words per minute with accuracy. Thorough knowledge of MS Office applications including Word, PowerPoint, Excel and Outlook. Thorough knowledge of the proper preparation of time records, expense reports, client bills and conflict-checking forms (if applicable to position) .Working knowledge of file management IT systems, e.g., FileSite. Excellent written and oral communication skills, including grammar, spelling and punctuation Ability to read, comprehend and follow instructions. Thorough familiarity with legal terminology pertinent to general legal concepts and specific area(s) of assignment Proficiency with advanced telephone functions, including conference calling and voicemail Excellent telephone manner Familiarity with legal filing and record-keeping practices. Strong organizational skills Ability to perform clerical tasks with a high degree of accuracy Proficiency on office equipment used on a regular basis including computers, printers, copy machines, facsimile machines, telephones and transcription machines. Ability to work independently and as a member of a team, take initiative, set priorities and see projects through completion. Ability to work effectively in a fast-paced environment, meet deadlines, handle multiple tasks, and respond to changing priorities. Ability to establish effective working relationships within the office and firm, and with clients, vendors and others outside the firm. Works effectively with multiple attorneys, outside vendors and government agencies to obtain corporate and real estate compliance documents, title reports, deeds, liens and UCC filings. Maintains project files and binders, including maintaining indices to same. Coordinates project closings. Schedules/calendars appointments such as client meetings and business transactions; coordinates travel arrangements as necessary. Schedules messengers and other vendors for pick-up of documents for errands such as filings with Secretary of State, delivery of documents to counsel and other types of errands. Review client billing for accuracy; edits content/grammar. Performs administrative functions such as preparing check requests for vendor statements and other administrative tasks. Organizes and schedules small and large meetings in person and/or via conference calls which may include arranging for conference rooms and meals. Maintains Outlook calendars and contacts lists. Inputs attorney time; reviews for accuracy and corrects errors. Works with attorneys to monitor incoming fax and email regarding clients matters. Prints incoming and outgoing faxes and emails for files following set procedures. Manages attorneys client contacts, including those maintained in the firm marketing contact database. Follows firm procedures to open new business following established new business intake procedures and assists with conflict requests. Maintains and updates client files following local office filing system procedures. Participates in office secretarial back-up system for absence coverage. Performs any other administrative tasks as may be assigned by the attorneys or Business Manager. Requirements: High School Diploma or equivalent required. College degree or equivalent experience is preferred. 5+ years recent experience as legal secretary. Working knowledge of rules and procedures including calendaring requirements. Ability to read and write English in order to perform routine office correspondence, pleadings and forms; perform non-complex arithmetic calculations at a level normally acquired through high school or the equivalent when verifying calculations on forms and documents and when maintaining records and files. Ability to organize and prioritize workload. Ability to use good judgment in decision making and take initiative in anticipating needs. Above average skills required on typing (75 wpm); dictaphone transcription (75 wpm); spelling; sentence structure; proofreading; punctuation; litigation test. Proficiency and high level of use with: (1) Microsoft Office Word, Excel, PowerPoint, including but not limited to using styles and formatting tools in Word, creating black lines, inserting Excel charts into Word and PowerPoints, (2) Adobe Acrobat, including creating, merging, and extracting PDF documents, and (3) document management systems.
