Litigation Legal Secretary Duties: Responsible for assisting attorneys and paralegals through the performance of complex secretarial and clerical duties requiring knowledge of legal terminology and the legal process. Reports to the Human Resources Department and the Managing Attorney in the office. Work with your team in the preparation and filing of all court documents and have knowledge of electronic court filings and litigation procedures. Contact clients and opposing counsel for the scheduling of appointments and maintain timekeeper calendars. Communicate directly with clients in a professional manner. Review and proofread all documents produced, check for proper formatting, spelling and grammatical errors, as well as ensuring that all attachments, exhibits or enclosures are intact before distribution. Provide document production services in accordance with the requirements of assigned timekeepers. Maintain client files electronic scanning. Assist attorneys in the review of billing statements. Act as liaison between attorneys and paralegals with regard to prioritizing workload and deadlines. Coordinate and make travel arrangements. Communicate information and updates on projects to appropriate timekeeper. Prepare assignments according to required specifications. Perform conflict checks and file openings. Perform other duties as assigned (including, kitchen duties, reception backup, etc.).
Requirements: 2+ years' working as a Litigation Legal Secretary. Experience with electronic court filings. Proficient in Microsoft Office 2010. Ability to deal professionally and communicate clearly and concisely both verbally and in writing both internally and externally. Ability to conduct and follow through with electronic court filings and knowledge of the court systems and their guidelines. Ability to pay close attention to detail, under deadlines constraints and changing work priorities, and complete work assignments logically and accurately. Proven ability to be flexible, be customer service oriented and work both independently and as part of a team. Ability to take direction, accept responsibility for assigned tasks and learn from problematic situations when they occur. Possess outstanding proofreading skills. Requires the ability to regularly report to work on the days and times scheduled. Willingness and desire to attend training classes to maintain and increase technical skill sets.
