Litigation Legal Secretary Duties: Responsible for assisting attorneys and paralegals through the performance of complex secretarial and clerical duties requiring knowledge of legal terminology and the legal process. Reports to the Human Resources Department and the Managing Attorney in the office. Work with your team in the preparation and filing of all court documents and have knowledge of electronic court filings and litigation procedures. Contact clients and opposing counsel for the scheduling of appointments and maintain timekeeper calendars. Communicate directly with clients in a professional manner. Review and proofread all documents produced, check for proper formatting, spelling and grammatical errors, as well as ensuring that all attachments, exhibits or enclosures are intact before distribution. Provide document production services in accordance with the requirements of assigned timekeepers. Maintain client files electronic scanning. Assist attorneys in the review of billing statements. Act as liaison between attorneys and paralegals with regard to prioritizing workload and deadlines. Coordinate and make travel arrangements. Communicate information and updates on projects to appropriate timekeeper. Prepare assignments according to required specifications. Perform conflict checks and file openings. Perform other duties as assigned (including, kitchen duties, reception backup, etc.). Requirements: 2+ years' working as a Litigation Legal Secretary. Experience with electronic court filings. Proficient in Microsoft Office 2010. Ability to deal professionally and communicate clearly and concisely both verbally and in writing both internally and externally. Ability to conduct and follow through with electronic court filings and knowledge of the court systems and their guidelines. Ability to pay close attention to detail, under deadlines constraints and changing work priorities, and complete work assignments logically and accurately. Proven ability to be flexible, be customer service oriented and work both independently and as part of a team. Ability to take direction, accept responsibility for assigned tasks and learn from problematic situations when they occur. Possess outstanding proofreading skills. Requires the ability to regularly report to work on the days and times scheduled. Willingness and desire to attend training classes to maintain and increase technical skill sets. Inputs, reviews, edits, and closes timekeepers time entries bi-weekly through the Firm s web-based time entry program using Firm standards. Handles monthly client billing (paper and electronic billing). Review billing proformas for accuracy and completeness. Performs client, matter and timekeeper inquiries, and narrative edits. Prepares timekeepers expense reports in a timely manner. Arranges for payment of vendor invoices or checks to be drawn and charged to appropriate client/matter numbers. Coordinates travel arrangements through in-house Travel Department. Opens new matters and generate client conflict checks. Coordinates with Records Department for file retrieval. Sets up and maintains timekeeper s work files, including daily and regular filing. Indexes and prepares files for off-site storage. Prepares annual and/or supplemental audit letter responses. Prints and organizes a variety of documents received in a range of formats, including emails, attachments and documents from CD ROM, and receives and prints faxes. As requested, answers telephones and accurately takes and relays messages. Arranges for video conferencing and sets up conference calls. Fully supports cluster as needed. Volunteers for overflow work. Actively seeks to maximize productivity and promote teamwork. Assumes responsibility for maintaining the highest level of confidentiality of all Firm and client information, records and files, both within and outside of the Firm.
