Using internal programs for document revision and clean-up. Answering telephones. Using Intapp Time for accurate entering of time and expense records. Preparing Expense Memoranda. Using file system for organizing/maintaining sets of files. Using Internet to make travel reservations. Copies, scans and files various client documents. Proofreading all work to ensure accuracy. Acts as backup to other legal secretaries to support additional attorneys or paralegals when necessary to assist with overflow work. Handles confidential documents and information with discretion. Handle or assist with client matters (when appropriate). Prepare for meetings. Must have High School (or equivalent); college given preference. Should have 3+ years' experience in secretarial field; preference given to legal experience. Knowledge of legal terminology and procedures is required. Legal Secretary The candidate will be responsible for preparation and/or revision of letters, memoranda and legal documents using Microsoft Word and its features via digital dictation or other means. Manipulation of documents which includes the duplication, printing, mailing, location, formatting and/or merging of documents. Proofreading of all work for both accurate content and context. E-filing documents in both state and Federal courts when necessary. Preparing and maintaining client and office files both in electronic and paper filing systems and proper use of firm document management system. Input lawyers time into time entry system.. Preparation and submission of new client and/or new matter forms. Make travel arrangements which include: transportation, automobile rentals, and hotel reservations with in-house travel agent. Preparing and submitting expense reports using Chrome River and performing electronic check requests for expenses and charitable contributions, when required. Communicating with clients and co-workers via phone or email. Scheduling and coordinating meetings and conferences with local receptionist and conferencing reservation system. Managing attorneys calendars including docketing. Manage hard copy and electronic hyperlinked copy client files. The candidate should have High School Diploma or its equivalent with document management program A A iManage Desk Site. Must have 3+ years of legal and/or secretarial experience with efiling in both state and federal courts. Experience in Civil Litigation and Labor & Employment is preferred.. Should have typing skills of 75+ w.p.m. and have strong organizational and communications skills, both verbal and written. Must be very detail oriented and able to multi-task. Strong document processing and project management skills. Proficient in advanced levels of Microsoft Outlook, Excel and Word and the use and application of Styles, Redlining, Adobe Pro and PDF Docs4. Strong communication skills and capable of initiating, drafting, editing and finalizing correspondence. Ability to multi-task in a highly demanding environment with tight time frames. Proficient with Microsoft Office Suite and Adobe Acrobat, including Excel spreadsheets and document handling. Must have a deep understanding of corporate transactional practice.
