Litigation Legal Secretary - Real Estate/Land Use Duties: Performing clerical and administrative duties such as scheduling, preparing legal documents and correspondence, responding to inquiries on a variety of matters, managing telephone calls, and greeting visitors in a professional manner. Keeps attorneys on time and up-to-date on matters requiring their attention. Arranges recording of documents and filing/payment of taxes with County offices. Prepares basic correspondence and legal documents; revises documents; creates new versions and blacklines. Researches online real property; obtains online property records. Communicates with title companies to obtain recorded documents, closing documents, etc. Assists clients with signing documents; notarizes documents. Organizes closing documents, prepares closing binders, and arranges for preparation of closing disks. Scans, organizes, and forwards scanned documents for transmittal to clients and other parties. Assists in arranging attorneys meetings. Enrolls attorneys for (and reminds them to attend) CLE courses; communicates with Human Resources to help maintain up-to-date CLE records. Opens new clients/matters and follows up on conflicts. Organizes files and information; keeps track of client/matter numbers. Enters dictated/typed attorney time into computerized time keeper program. Reviews prebills and finalizes firm invoices; guides firm attorneys to ensure their time is entered appropriately and timely; responds to attorneys with information required to collect fees. Coordinates and disperses daily mail. Answers incoming telephone calls and determines what assistance is needed. Acts as a liaison between the attorneys and other departments of the firm. Effectively utilizes the firm s resources (ALS, IT, Conflicts, Records, Communications, Copy Center, Document Production, Accounting, etc.) to ensure efficiency. Provides back-up secretary services. Performs other duties and responsibilities assigned by the assigned attorneys, Legal Staff Manager, and Director of Human Resources and Operations. QUALIFICATIONS: Bachelor s degree (B.A.) and 3-5 years of experience in legal or professional services organization or high school diploma and 5-7 years of experience in legal or professional services organization. Legal secretary certificate is preferred. Broad computer knowledge, skills, and proficiency with Windows Operating System, Word Processing, Spreadsheets (Excel), Presentations (Power Point), Internet (IE, Chrome, FireFox), and other compatible and related software. Demonstrates legal terminology and government regulations knowledge. Ability to effectively and accurately present information and respond to questions from attorneys, clients, and employees. Make well-reasoned, effective decisions. Meets deadlines and manages time effectively. Demonstrates attention to detail. Excellent organization skills - setting priorities, initiative, advance planning, and flexibility. Excellent interpersonal skills. Commitment to excellent client service. Collaborates and promotes team building. Observes employee and attorney-client confidentiality. Demonstrates strong verbal and written communications skills.
