Qualifications: 3+ years office, administrative, or secretarial experience, or a paralegal degree/certificate and 1 year of office, administrative, or secretarial experience required. Law firm experience preferred. Knowledge of or willingness to learn Federal, State, Appellate, and local court rules and procedures. Knowledge of or willingness to learn the various state, federal, appellate, and administrative agencies filing procedures and systems. Legal Secretary - Float The candidate prepares draft correspondence and pleadings. Answers incoming telephone calls and determines what assistance is needed. Manages docket and calendar management. Enrolls attorneys for CLE seminars. Arranges client meetings and calls and manages attorneys calendars.Proofreads, edits and redlines documents. Opens new client matters. Coordinates and disperses daily mail. Makes travel arrangements. Organizes files. Books conference rooms for meetings. Schedules depositions and logistics management, including booking court reporters, booking conference rooms, travel arrangements as necessary, and transcript ordering. Performs other duties and responsibilities as assigned . Must have 5+ years of secretarial experience with three years of recent litigation experience. Legal or professional services organization experience is preferred. Paralegal certificate is helpful. Must have broad computer knowledge, skills, and proficiency with Windows Operating System, Word Processing, Spreadsheets (Excel), Presentations (Power Point), Internet (IE, Chrome, FireFox), and other compatible and related software. Must have legal terminology and government regulations knowledge. Thorough knowledge and familiarity with common litigation procedures, terms, and protocol (i.e. motions practice, subpoenas, discovery documents, rules, and court filings) is essential. Intellectual Property Legal Secretary/Assistant Duties: Creating templates for communications with the USPTO (require advanced MS word knowledge; knowledge of quick parts and auto-text); Schedule Examiner Interviews and transmit interview agendas. Drafting correspondence, engagement letters to clients and other documents as required; Conflict check processing for new client intake; Inventor Disclosure Questionnaires. Obtaining and downloading documents from USPTO web site; EPO Registry; KIPO; and obtaining references for office actions and search reports. OCR pdf documents and edit as needed. Opening new client files and assisting in major portfolio intakes (related to patents) ; must be familiar with PAIR and how to pull a file wrapper; Maintenance of existing files and procedural closure of registered/expired cases (NOA Checklists). Preparing docket reports, maintaining attorney docket and calendar, and managing client and referral contact database; Strong organizational skill required.. Reviewing and learning outside counsel guidelines for various clients; must be able to understand and adhere to specific client procedures. Electronic file maintenance; must be willing to adhere to firm s/client s document labeling code. Processing and saving incoming mail (both electronic and physical), including correspondence from the U.S. Patent and Trademark Office, in a file management system, such as FileSite.
