Legal Secretary - Business and Corporate Duties: Performs full secretarial and administrative duties for business attorneys. Perform secretarial functions associated with firm administrative tasks, including processing new client/matter requests, conflict checks, client bills. Patent docketing and maintenance preferred. Word processing of drafts, revisions and final documents for client-related matters, including correspondence, memoranda, bills, timesheets and project work, as needed. This includes proofreading and redlining work for accuracy copy, format, etc.. Preparation of IP prosecution filings for review and approval by attorneys preferred. Monitors client files and deadlines in App Coll and PAIR preferred. Preparation and filing of assignment recordation on-line with the USPTO preferred. Copies, distributes, sends (electronically and/or via mail, courier or express service), files and otherwise handles completed work preferred. Coordinates and registers attorneys for CLE and maintains applicable attorney records. Maintains physical and electronic files, contacts, and maintains dockets of cases for attorneys. Coordinates meetings and appointments. Handles incoming and outgoing mail and filing. The candidate will have 3+ years of legal secretary experience. Candidate must have a great attitude, will be a team player, have a proactive work ethic, excellent oral and written communication skills, will be proficient in proof-reading and data entry, detail oriented and have the ability to work well under pressure. should be familiar with a broad range of transactional practices, ideally with some background in intellectual property (though willing to train on this). Knowledge of general office procedures. Ideally, the candidate would have familiarity with legal terminology related to Intellectual Property (IP) or be willing to learn. Prior experience supporting multiple attorneys is required. Advanced word processing/computer skills utilizing a variety of software programs including, but not limited to, MS Word, Excel, Outlook and PowerPoint, Adobe and Fileshare. Must possess excellent written and oral communication skills, including grammar, spelling and punctuation. Strong phone etiquette, attention to detail and follow-through skills are required. Must be knowledgeable regarding legal filing and record-keeping practices, as relevant to the specific practice. Must be highly organized and able to successfully multi-task and meet set deadlines.
