Legal Secretary (Litigation) The candidate will support approximately five attorneys in the Washington, DC office. Generate, prepare, and organize documentation and forms requisite to the litigation practice area, such as briefs, subpoenas, motions, notices, orders, interrogatories, tables of authority, extensions of time, etc. File legal documents in federal and state courts, including e-filing in all courts and agencies; prepare documents for service of process; prepare case shell documents for use by attorneys. Maintain knowledge of electronic court filing procedures. Ensure all pertinent dates are docketed and index all pleadings. Date stamp incoming mail, pleadings, deposition notices, etc. ensuring documentation with deadlines are docketed and calendared. Assist with trial preparation, depositions, and other litigation related responsibilities. Create, edit, and compile large, complex, heavily formatted documents as well as prepare correspondence, memoranda, and other legal documents from draft or dictated text utilizing Microsoft Word. Assist in the organization and preparation of closing binders, including maintenance of electronic file rooms for access by third parties. Proofread documents and check for appropriate formatting, spelling and grammar. Enter attorney's time utilizing the Firm's time entry software on a daily basis.Maintain excellent public relations with clients. Receive, sort, and distribute incoming mail. Process outgoing mail to assure timely delivery. File mail in client/case files, as necessary. Open new client matters and request conflict of interest checks. Generate new files and maintain client and general files assuring that filing is kept current. Prepare files to be closed utilizing proper records storage procedures. Conduct periodic reviews of inactive files for possible storage of files. Maintain up-to-date listing of client/matter names and numbers for each attorney. Make travel arrangements, prepare itineraries, and compile documents for travel-related meetings. Coordinate and follow through on requests and projects with other support departments (e.g., word processing, receptionists, file/document clerks, office services). Maintain knowledge of Firm operating procedures, departments, and support areas. Provide overflow and absence coverage assistance as well as secretarial support for Secretarial Team Members attorneys. The candidate should have 5 years of legal secretarial experience. Prior experience in the Litigation practice area of law with applicable knowledge of court filings is a plus. Excellent troubleshooting, problem resolution, and follow through skills in order to oversee and complete assignments/tasks from inception to completion. Organizational skills including record keeping, data collection, and system information. Familiarity with Carpe Diem, Elite, iManage, Chrome River, Forte, Workshare Compare and similar technology. Strong proofreading skills, attention to detail and solid grammar/spelling skills. High degree of proficiency with Microsoft programs (Word, Outlook, Excel) Legal citation and legal terminology expertise. Flexibility to work overtime occasionally. Good attendance and punctuality.
