Litigation Legal Secretary The candidate will support a desk with attorneys from our Litigation practice group. Handle complex and specialized secretarial and clerical support activities related to the specific work and function of the timekeeper(s) to whom they are assigned, in a timely and accurate manner. Provide secretarial support to assignments including, but not limited to, transcribing dictation tapes, typing correspondence, reports, memoranda, and/or other documents and submitting same for review; revising, proofreading, assembling, and distributing prepared material as necessary in an accurate and timely manner. Review and route incoming correspondence. Create and maintain well-organized and timely client files (hard copies and electronic); resource materials and administrative files (e.g. CLE) and indexes. Perform electronic filing of court documents (e.g., County, State, Federal, and/or Appellate Courts.). Screen and route telephone calls, and receives and directs clients. Schedule and confirm appointments in a proactive manner. Ensure guests are registered visitors to the building. Schedule conference rooms and guest offices using the Firm scheduling software. Input attorney's daily billable time in accordance with the Firm's policy on Timekeeping and Billing. Prepare expense reports for review and submission. Monitor case deadlines and maintain case calendar utilizing Firm docketing system. Communicate and interact appropriately with internal and external clients to deliver a high level of customer service, consistent with the Firm's "First in Service" philosophy. Review pro-forms for billings received from the Accounting Department to clients for services rendered and complete complex clerical procedures in connection therewith. Coordinate domestic and international travel arrangements and tracks travel expenses for timely reimbursement. Overtime may be required. Perform additional office support duties as assigned/requested. The candidate must have a High School Diploma with 1-3 years of relevant experience; comprehensive knowledge in Microsoft Office (Excel, Outlook, PowerPoint, Word) and PDF software; excellent customer service attitude; to proactively participate as a member of the practice group support coverage team; completion of the Legal Technology Core Competencies Certification Coalition (LTC4) Program. Must be able to handle many priorities at one time, work well with others, and have excellent communication skills. Experience with InTapp Time, Chrome River Expense Reporting, Elite Webview, Interaction, Cisco Telephone System, iManage, and ADP is a plus.
