Legal Administrative Assistant (Corporate Legal Secretary) Duties: Providing LAA support to attorneys/timekeepers in the area of corporate/transactional law, successfully managing multiple projects and priorities. Communicates effectively, courteously, and professionally with clients, visitors, staff, and timekeepers. Responsible for typing/transcribing, revising and proofreading legal documents accurately and within requested timeframes, prioritizing work among assignments and meeting specific deadlines on projects. Coordinates lengthy and complex document preparation with the Resource Center as needed. Prepares documents for e-filing as required. Reviews and routes incoming mail and fax communications. Prepares and processes outgoing mail and faxes, arranging for specialized mail or messenger services as required. Ensures that all attachments, exhibits, and enclosures are included. Coordinates activities with the Office Services department as needed. Maintains paper and electronic files in compliance with current policies. Works with Records Department to create and maintain client files and indexes. Marks case or matter related documents as needed with filing instructions to ensure proper filing. Performs routine filing and retrieves files as needed. Maintains chronological files and administrative files for assigned attorneys. Assists in coordinating timekeeper calendars, expense reports, travel, and meeting arrangements.: Prepares daily time entries for assigned attorneys utilizing Firm approved narrative guidelines, and submits in a timely manner to Accounting. Prepares expense reimbursement/disbursement requests. Coordinates client billing matters with Accounting billing staff, attorneys, and clients; prepares billing letters and other requested client financial updates; assists attorneys with tracking and monitoring alternative fee arrangements; assists attorneys with automation, tracking and monitoring of matter budgets. Prepares and processes new matter forms. Opens new files, requests conflict checks. Receives and screens phone calls and takes messages as required. Receives and directs clients and visitors. Coordinates travel arrangements, prepares itineraries, and prepares travel expense reports. Schedules meetings and arranges for conference rooms and meals. Communicates effectively with clients and with others in the firm. Is proactive in anticipating the business needs of the assigned attorneys; plans ahead and meets deadlines. Proactively demonstrates effective teamwork and provides assistance to other LAAs as time permits. Works cooperatively with other departments and individuals in the firm. Operates office equipment including PCs, printers, phones, copiers, facsimiles and typewriters. Copes successfully with demands from timekeepers, remaining calm under pressure. Conducts all business in a confidential manner. Requirements: High School Diploma or GED required; 2-year degree preferred. 3-5 years A? experience required in Corporate/Transactional law. Typing speed of 60 wpm. Proficiency in Microsoft Office Suite including Outlook, Word, PowerPoint and Excel. Previous transcription experience preferred. Ability to deliver superior service to all internal and external customers and communicate effectively. Ability to interact in a professional and courteous manner with clients and employees at all times; professional appearance required. Ability to successfully perform position requirements with excellent organizational, time-management and prioritization skills required. Ability to work collaboratively within a team; ability and willingness to adapt to changing business demands. Ability to produce acceptable amount of work efficiently and accurately; ability to produce quality final work product. High level of professional integrity required; ability to maintain confidentiality and build trust. Demonstrates good grammar, spelling, proofreading, and organizational skills.
