Legal Secretary - Intellectual Property (Patent Prosecution) Duties: Assist with all aspects of patent preparation and prosecution. Assist attorneys, patent agents and IP paralegals in all aspects of patent prosecution, patent docketing, and related department functions. Answer telephones in a professional manner; take messages and forward calls to appropriate parties. Finalize and distribute attorney-client privilege and confidential correspondence. File emails and documents in correct patent file jacket and maintain patent files. Upload documents timely to maintain client document database. Prepare new patent applications for filing, including provisional, non-provisional, CON, DIV, CIP, Request for Continued applications and all related documents for filing with USPTO. Prepare responses and/or amendments to Office Actions for filing with USPTO. Prepare reporting communications and routine correspondence to the client. Prepare formal documents for client signature, obtain appropriate signature and follow-up as needed. Review issues patents and prepare Certificates of Correction, as directed. Prepare an IDS or Supplemental Disclosure. Maintain citation records for related patent families as needed. Review the docket, provide updated information to the docket staff and reconcile the docket as directed. Perform conflict checks and open new matter numbers for clients. Assist attorneys with time entries, expense reports, and invoice approvals. Schedule meetings, including webinars, teleconferences and video-conferences, and coordinate meeting space and catering for same. Assist attorneys with other administrative tasks or special projects as needed. Qualifications: 2-3 years of administrative assistant experience, IP experience preferred. Experience filing with the USPTO preferred. IP Litigation and foreign patent prosecution experience a plus. IP docket experience preferred, CP ideal. Must be a team player to contribute to a sophisticated IP group. Strong organizational, communication and client service skills. Must be detailed oriented, excellent grammar and spelling skills. Knowledge of USPTO rules and practices, including docketing, public/private PAIR, national stage prosecution and formality requirements, including basic familiarity with CFR, MPEP and other patent-related laws and regulations as well as basic knowledge of Patent Application Information retrieval System (Private PAIR), Electronic Filing System (EFS), Electronic Patent Assignment System (EPAS). Familiarity with USPTO website. Proficiency with Microsoft Office, including Excel and Word, as well as Adobe Professional. Proficiency with Visio ideal.
