Litigation Legal Secretary The candidate will be processing, reviewing, and compiling large volumes of client documents; analyzing correspondence; drafting subpoenas; requesting confidential documents; mediation scheduling; client invoicing, working closely with accounting; developing and establishing chronological order of timelines using numeric labeling; maintaining paper and electronic files; preparing and maintaining binders; drafting and proofing written materials and documents; maintaining data within databases or Excel; developing and maintaining professional work relationships with attorneys, managers and staff; upholding a strict attention to detail; and maintaining complete confidentiality of client matters. Daily administrative and clerical support to the three or more attorneys; Meeting preparation to include scheduling meetings and communicating with internal and external clients; Expense reporting and time entry; E-Court filings; Data maintenance, data / electronic document management, and reporting, both within a database and/or Excel; Regular engagement with a variety of individuals and interpersonal styles, including attorneys, paralegals, and outside business partners; and Drafting and proofing written materials and documents with attention to detail and professional writing skills and grammar. Regular data maintenance and management of electronic databases and/or Excel spreadsheets. Numeric labeling of pages within a group of documents, indexing, and tabbing. The candidate must have Associate s degree or equivalent additional related experience. Should have 3+ years of experience in a hands-on administrative support role supporting multiple managers; direct legal experience is required. Must have experience obtaining documents and compiling a variety of information and details related to transactions, closings, etc. Should have ability to draft formal correspondence and provide miscellaneous document support with intermediate or higher MS Word expertise. Experience with both electronic and paper file maintenance and organization required. Must have ability to effectively present information and respond to questions from individuals or groups of managers, clients, and timekeepers in a professional and responsive manner. Should have experience in a direct project support capacity for two or more managers simultaneously. Advanced Word and Excel skills with word processing, or regular document production experience essential.
