Litigation Legal Secretary RESPONSIBILITIES: Provide support for the department attorneys in preparing, revising and finalizing legal documents. Manage calendars, including calculation of legal deadlines, scheduling/arranging meetings, booking meeting rooms, and sending invitations and reminders when needed. Knowledge of rules of civil procedure and local court rules and procedures as they pertain to service, filing, motion practice, discovery and pretrial deadlines, and document formatting. Draft pleadings, discovery, and correspondence in accordance with applicable procedural rules ensuring accuracy and completeness. Manage documents in discovery and exhibit preparation and management for trial. Assist attorneys with deposition preparation, discovery requests, and document productions. Provide support for the department attorneys in preparing for client meetings, hearings and trials. Ensure supporting materials (e.g., agendas, A-V requirements) for meetings and events are prepared accurately and provided in a timely manner. Take ownership for the success of the firm-wide administrative functions by effectively communicating with and providing back up support to all administrative staff, as needed. Proactively contribute to office activities to ensure an efficient and cohesive team environment. Manage communications and correspondence (phone, voicemail, email, mail), responding when needed; bringing action items forward to appropriate individual s attention. Arrange couriers and deliveries ensuring time-sensitive material is received on time. QUALIFICATIONS: Strong computer skills including Word, Excel, Outlook and PDF manipulation software (e.g., Adobe). Excellent and professional command of the English language in a written and verbal capacity. Knowledge and understanding of local jurisdiction and federal court rules. PREFERRED SKILLS: Paralegal certification. Experience managing legal documents including drafting standard pleadings. Experience with computer-assisted legal research databases. Ability to proficiently navigate Odyssey E-File and Serve, CM/ECF Filer, PACER and SilverFlume. Proven ability to establish professional relationships with colleagues, clients, and external contacts. Proactive and anticipatory can put themselves in the shoes of the executive. Thrives gracefully under pressure in a very demanding environment. Highly organized and able to meet deadlines and manage multiple demands. Able to discretely handle highly confidential information. Operates with a high degree of accuracy with strong attention to detail. Strong work ethic. Responds well to constructive feedback. Able to learn quickly.
