This large international New York law firm founded in 1934 has established a full-service presence. Clients include large corporations and individuals as well as small and medium-sized businesses. Legal Secretary/Private Client Practice Group (Trusts & Estates) Duties: Provide legal and non-legal administrative support to attorneys, paralegals and clients. Read, prioritize, routing, and following up on incoming client communications. Strong proofreading skills and overall continual attention to detail. Utilizing quality control measures to produce error-free work consistently and efficiently. Handle sensitive and confidential information with discretion. Coordinate a high volume of meetings, manage calendar and all related logistics. Experience with prioritizing work and managing high volume workflow. Prepare and print documents, emails, presentations, forms, and spreadsheets. Schedule heavy domestic and international travel and process related expenses. Update attorneys/paralegals concerning mail and phone messages while traveling. Manage client contact information. Manage attorneys phones including incoming calls, messaging, transfers and conference calls. Handle attorney time entry and billing. Handle and manage the full cycle of client intake process. Manage the daily workflow of assigned tasks, including working in advance of deadlines. Organize and consistently maintain attorney/paralegal files in a timely manner. Process and monitor attorney/paralegal expense reimbursements, vendor bills and check requests.
Requirements: High School Diploma or equivalent required. 2 years of secretarial experience in a law firm or professional services environment. Excellent organizational skills needed to manage time well, prioritize effectively and handle multiple deadlines. Proficiency in Microsoft Office Suite, including Word and Outlook, Document Management and time entry systems. Experience with client billing. Strong attention to detail. Professional interpersonal communication skills, both verbal and non-verbal. Excellent teamwork and collaboration skills. Client service/customer satisfaction oriented. Strong problem solving ability. Superior organizational skills; demonstrated ability to coordinate multiple competing tasks and demands.
