Legal Secretary The candidate will proofread and redline documents to ensure accuracy and quality control of grammar, spelling, punctuation, and syntax in final format. Draft various forms, correspondence, memoranda, status reports, project work, and court documents. Edit, finalize, format and distribute documents. Prepare reports, tables and Excel documents. Assist with trial preparation: manage trial exhibits, prepare trial notebooks, maintain expert binders, perform jury research and communicate with experts and fact witnesses. Assist with Appellate process from U.S. District, Court of Appeals, Circuit Court through to the U.S. Supreme Court. Manage calendar and meeting coordination, including availability of attendees, meeting notification and reminders, conference room and equipment set-up, beverage and meal orders, and preparation of meeting materials. Set up and maintain firm files including accurately organizing documents and where applicable file documents in binders. Maintain files in electronic format. Timekeeping including input and editing attorney time entries utilizing the Firm s software. Responsible for phone coverage as needed. Use proper vocabulary; take messages accurately and legibly; handle calls and voice mail in attorneys and/or paralegals absence; maintain records of necessary names and phone numbers. Prepare expense reports, conflict checks, new matter memos, check requests. Coordinate travel arrangements, including air, hotel, and car plans for attorney off-site meetings and events. Cover other desk assignments when needed and offer assistance to other secretaries on the team. Utilize firm resources to assure that all work is completed in a timely manner. All other special duties as assigned by Attorney, Paralegal or Administration. The candidate should have a High School diploma or equivalent. Must have 2-3 years of legal secretary experience in a professional environment which includes responsibility in managing litigation matters. Working knowledge of Appellate briefs, filing, and various court systems is essential. Must have good knowledge of Microsoft Word and other software such as Adobe, Excel, and Microsoft Outlook. Typing speed at 65 wpm is ideal.
