Executive Assistant/Legal Secretary to Office Managing Partner Duties: Provide full secretarial support to a busy office managing partner and associate in a professional and consistent manner. Manage calendars and schedules; coordinate appointments. Book travel and lodging. Handle incoming calls and email; respond/route appropriately. Work with office administrative staff to provide coverage across other areas as needed. Communicate clearly and effectively with internal firm contacts, as well as outside clients and vendors. Prioritize conflicting needs; handle matters expeditiously, proactively and accurately. Qualifications: 1-5 years experience in a transactional law practice or executive management support role. Some litigation experience a plus. Experience in transactional and real estate law. 2+ years is required. Some litigation experience would be preferred, as well as experience working for an office managing partner, or similar executive-level support. Exceptional computer skills (Microsoft Outlook, Word, Excel and PowerPoint). Extremely proactive and self-driven; ability to anticipate needs and provide solutions. Excellent written and verbal communication skills. High level of attention to detail and accuracy in a very fast-paced environment. Strong interpersonal skills and sound judgment capabilities. Ability to adapt to change quickly and effectively. Positive can-do attitude; willingness to learn and do what it takes to accomplish tasks. Will need to be proactive, able to anticipate needs, and pay a high degree of attention to detail. Must have excellent computer skills using Microsoft Outlook, Excel, Word, etc. Must be able to communicate professionally with clients and colleagues. Ability to prioritize assignments and use independent judgment is required.
