Legal Secretary Responsibilities: Assist potential new clients with completion of intake questionnaires (walk-ins and phone inquiries). Sign up cases (electronically and in-person as needed). Assist in discussing office contracts, HIPAA documents, and other relevant required documents for sign-ups. Answer a multi-line telephone system. Establishing new case files. Assist with data entry. Assist with scanning, photocopying, faxing and filing documents. Assist with Spanish translations. Assist in calendaring deadlines and client appointments (in-person, telephonic conferences, and video conferences). Drafting simple correspondence. Assist with clerical requests as needed. Qualifications: High School Diploma or equivalent. 2-3 years Personal Injury Legal Intake experience. Must be bilingual (Spanish & English). Dependable and consistent, especially with attendance and punctuality. Customer service oriented. Highly organized with advanced multi-tasking and follow-up skills and the ability to prioritize tasks. Ability to deal with high stress situations. Professional and effective written and oral communication skills with customers, management, and fellow employees. Excellent listening skills. Ability to understand and follow written and verbal instructions. Strong work ethic. Must be adaptable, flexible, and willing to adjust work assignments when necessary. Team player with professional appearance and demeanor. Proficient in MS Office, including Excel and Word. Experience with Dropbox. Thrive working in a busy environment. Be comfortable with multitasking and handling numerous phone calls throughout the day. Possess excellent written and verbal communication skills with a proven ability to interact with clients. Be able to prioritize assignments and tasks, maintain organization, and manage workload. Be detail oriented and have a positive attitude.
