Litigation Secretary Duties: Draft, type, transcribe, format, proofread, compile and edit pleadings, briefs, subpoenas, discovery documents, motions, litigation-related correspondence and various other legal documents; transcribe notes, oral or written instructions from prior materials, review work for accuracy, format and compliance; verify case cite references, compile and mark exhibits as necessary. Prepare all pre-filing steps, including verification signatures, proofs of service, cover sheets, preparation of exhibits, courtesy copies, and other local rule requirements. Work in conjunction with the docket department to serve and file legal documents with the court and administrative agencies in conformance with the applicable style and format rules for the particular court or other venue. Maintain internal filing systems, including categorizing legal and discovery documents, verify correspondence and pleadings are filed chronologically, prepare case inventory with updated and accurate information. Maintain or institute system of tracking status of files, i.e., all contact via phone, e-mail, etc. Transcribe, format, proofread and edit voicemail messages, correspondence, forms and charts for complex projects, utilizing Microsoft Word, Excel, Adobe Acrobat Professional, and iManage document management system. Telephone contact with clients, professionals, court reporters, screen and/or respond to telephone messages and routine correspondence with requests for information; provide reception backup relief as needed. Coordinate and make arrangements for travel and conference calls, perform tasks associated with opening and closing cases; distribution, copying, scanning, faxing and processing or routing of materials. Maintain deposition calendar. Arrange court reporters, videotape technicians; coordinate with opposing counsels and clients to schedule depositions, which requires knowledge of court rules and procedures and resourcefulness to obtain that information when necessary. Prepare mail, FedEx and certified mail labels for daily deadlines. Maintain updated, accurate e-mail list of contacts for e-mail letters. Qualifications: High school or equivalent. Paralegal Certificate is required.
