Legal Secretary Responsibilities: Type and edit legal and other documents (including correspondence, memoranda, bills, timesheets and project work) from handwritten or typed materials. Copy, distribute, send (electronically and/or via mail, courier or express service), file and otherwise handle completed work. Proofread work for accuracy of copy, format, grammar, punctuation and syntax. Receive, screen and transmit telephone calls, conference calls and messages to/from attorneys, clients and staff. Handle incoming and outgoing mail. Perform secretarial functions associated with firm administrative tasks, including processing new client/matter requests, client bills, time reports and expense reports. Set up and maintain files. Coordinate conferences, meetings and appointments. Coordinate travel arrangements, securing air and ground transportation and hotel accommodations. Provide secretarial assistance to senior administrative personnel, including visiting attorneys, summer associates and attorneys whose secretaries are absent. Enter visitors into the building security system; issue and track visitor security badges. Reserve conference rooms and visitor offices noting any special requests including catering, technology, etc. Assist with setup and breakdown of CH conference room meetings. Assist with all catering requests for the CH office including planning and ordering weekly lunches for CH employees. Assist with maintaining kitchen and office supply inventory. Assist the Office Manager with event planning including the summer and holiday parties and other ad hoc events. Other duties as assigned. Some overtime will be required. Requirements: High school diploma equivalent required. Associate or Bachelor's degree desirable. 3-5 years of secretarial experience in a law firm or professional services firm. Must be fully vaccinated for COVID-19 (i.e., 2+ weeks after last dose) and, if hired, present proof of vaccination by start date. Must possess strong listening skills and written and oral communication skills; and the ability to quickly solve problems. Must have strong time management and project planning skills and be able to deal with stress associated with a fast-paced work environment, including handling the demands of multiple timekeepers and multiple tasks on a daily basis. Must be able to make judgment decisions and handle daily responsibilities with minor supervision and must be able to handle routine responsibilities in the absence of the timekeeper. Must be able to adapt to changing work situations and grasp and apply new ideas. Must have strong customer service and team orientation and be able to relate and interact with people at all levels in the firm as well as clients and others from outside the firm. Must possess a working proficiency using Microsoft Outlook, Word, PowerPoint, Excel and PDF software and be adaptable to learning new software. Experience with entering time in Intapp or other law firm timekeeping system preferred.
