Legal Secretary Job Opportunity at Law Firm The Opportunity As a Legal Secretary at Law Firm, you will perform high-level administrative and executive support to one of the Office Managing Partners and other assigned attorneys. This position interacts daily with top executives and requires the use of independent judgment and discretion in handling extremely confidential information with a wide variety of internal and external clients. You will provide a variety of secretarial and administrative duties for assigned attorneys. You will be responsible for interacting with colleagues in a team setting and upholding the image of the Firm by maintaining positive contact with clients, attorneys and staff, and observing confidentiality of client matters. The Day-to-Day As a Legal Secretary, your day-to-day duties may include: Managing complex schedules, phone calls, meetings and travel for high-level attorneys; maintaining up-to-date and accurate calendars with complex scheduling requirements and serving as the point of contact between partners and employees. Arranging and coordinating all travel for assigned attorneys; preparing agendas for meetings, organizing and opening executive conference calls; taking notes at meetings. Managing multiple administrative projects and deadlines with a high degree of accuracy in a timely manner. Managing travel expenses, attorney time entry and preparing expense reports. Preparing correspondence, memoranda and other legal documents; proofreading documents and checking for appropriate formatting, spelling and grammar. Editing and formatting corporate and other legal documents as instructed, using Microsoft Office suite of software. Sorting, dating and reading incoming correspondence, including email; preparing documents and packages for mail, messenger and overnight delivery. Managing Office Managing Partner's email inbox. Completing client/matter forms; requesting conflicts of interest checks; opening and maintaining client and general files. Coordinating and following through on requests and projects with other support departments (e.g., word processing, billing, receptionists, file/document clerks, office services). Flexibility and willingness to take on additional ad-hoc projects and responsibilities as needed. You Have To be successful in this role, you will need: At least 7 years of law firm experience, preferably in an executive assistant or similar role. Self-starter, ability to work with autonomy in a team environment, ability to prioritize, proactively anticipate and solve critical issues. Ability to handle confidential material with tact and discretion. Analytical abilities and aptitude in problem-solving. Strong customer service orientation with superb follow through; excellent organizational skills and time management skills. Proofreading, attention to detail, strong writing and grammar skills a must. High degree of proficiency with MS Office, including Excel and PowerPoint. Knowledge of Carpe Diem, Elite, and document management systems or similar legal software. Compensation and Benefits This position is based in New York, NY 10018 and offers competitive salary and benefits. Note: No amount of pay is considered to be wages or compensation until such amount is earned, vested, and determinable. The amount and availability of any bonus, commission, or any other form of compensation that are allocable to a particular employee remains in Law Firm's sole discretion unless and until paid and may be modified at Law Firm's sole discretion, consistent with the law.
