Legal Secretary Duties: As a member of the Secretarial Services department, will proactively provide a variety of administrative and clerical duties to support a team of litigation attorneys and/or paralegals and support the day-to-day management of clients matters. Provide general administrative support to assigned timekeepers, which may include assistance with time entry, expense reports, contact management and general file maintenance. Receive, review and process incoming mail for assigned timekeepers. Exercise judgment and oversight of administrative tasks delegated to other support departments (records, office services, word processing, calendar) maintaining overall responsibility for work, ensuring that it is completed timely and is a quality product. Assist with overflow and other special projects that contribute to office-wide and firm-wide goals. Open and close matters in conjunction with accounting, conflicts and records teams. Prepare, edit, format and/or finalize routine and complex correspondence, memoranda, reports and legal documents such as discovery requests/responses and pleadings including the creation of tables of authority and content. Coordinate the filing and service of paper and electronic pleadings and/or discovery in state and federal jurisdictions. Calculate and calendar statutory due dates/deadlines, court hearings, depositions and client meetings in coordination with calendar team. Review and redact medical records. Safeguard and maintain confidentiality of client information and matters in accordance with Firm policy and other federal, state and administrative requirements including HIPAA. Maintain positive relationships with internal and external clients through professional interactions. Consistently promote and model courteous service in a prompt and efficient manner by responding to requests quickly and professional with recognition that the request serves a client and/or Firm need. Requirements: High school diploma or equivalent required; some college experience preferred. 7+ years experience working as a litigation legal secretary; strong medical malpractice or insurance defense support background preferred. Familiarity with legal and medical documents and terminology. Excellent organizational and time management skills. Strong initiative with the ability to be detail-oriented in a fast-paced environment with changing priorities and deadlines. Excellent customer service/people skills, excellent written and oral communication and interpersonal skills, and the ability to work in a team environment. Proficiency using MS Office products (Word, Excel, Outlook) and have a minimum typing speed of 70 wpm.
