Legal Secretary The candidate will open new matters/process matters for closing. Document management and organization. Ensure that documents are properly saved to the Document Management System. Draft and send routine correspondence. Manage a high volume of administrative work. Collect information from various sources including email and other correspondence, and other documents. Manage bills for third-party vendors, process check requests, and follow up with accounting. Prepare legal filings: format documents, pull exhibits, proofread and redact documents. Prepare court forms such as notices and other simple pleadings. E-file court filings in both State and Federal courts, in this and other jurisdictions. Become familiar with court and agency rules and filing procedures as well as client guidelines. Create and maintain case contact sheets. Maintain attorney calendars and ensure all dates/deadlines are calendared. Deposition scheduling. Manage expense reimbursements. The candidate should have 4+ years of Defense Litigation experience. Prior experience with e-filing and litigation procedures and processes is a must. Experience with filing briefs, TOC and TOA. Experience using a Document Management system is a must - Familiarity with iManage is a plus. Must have familiarity with State and Federal court procedures and rules, strong administrative skills with the ability to manage a high volume of work, and strong organizational skills with the ability to integrate into a fast-paced environment. Must have a strong ability to prioritize tasks, and organize yourself to be able to concurrently manage several tasks, including delegation of tasks when appropriate. Must be able to work independently and reliably; self-motivated; flexible and adaptable. Must know MS Office Suite (Word, Outlook, Excel). Must have strong written and verbal communication skills, detail-oriented and professional. Must be a team player, and strong ability to multi-task.
