Legal Secretary, Business Section - Employee Benefits The candidate will work closely and efficiently with the attorneys to keep them well informed of upcoming commitments and responsibilities and following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the attorneys updated. Demonstrate independent judgment as well as problem-solving, analytic and excellent communication skills when addressing issues and selecting methods and techniques for obtaining solutions. Produce information by formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics; coordinating with other departments as needed. Perform various administrative duties such as preparation of expense reports, creating meeting agendas and preparing presentations in support of the section leader's duties and role. Conserve attorneys' time by reading, researching, reviewing, verifying, and routing correspondence, reports and legal documents; drafting letters and documents; collecting and analyzing information; initiating communications and organizing client conferences and attorney meetings. Maintain attorney calendars by planning and scheduling client engagements, internal meetings, conferences and business related travel. Monitor client deadlines and be proactive at reminding attorneys of priorities and deliverables. Enhance department and organization reputation by accepting ownership for accomplishing new and different requests and by exploring opportunities to add value to job accomplishments. Represent attorney by communicating and obtaining information; following-up on delegated assignments; and knowing when to act and when to refer matters to attorney. Maintain client confidence by keeping client/attorney information confidential. Organize and maintain files, both physically and electronically. Ability to function under pressure and maintain flexibility while working on various deadline driven assignments. Must have exceptional written and verbal communication talents, with strong attention to detail. Proficient in MS Word with the ability to perform document versioning, redlining and run comparisons. Expert level Outlook skills to seamlessly manage multiple calendars and plan complex meetings. Proficient in iManage, Smartsheet, Excel, Acrobat, WebEx, CCC Macro Pro or similar macros/numbering packages and other legal applications.
