Legal Secretary Duties: Working with multiple attorneys providing a full range of support including, preparation and revision of correspondence, documents; various office and client filing; and calendar maintenance for assigned attorneys. Provide support to 3-4 attorneys (immigration). Answer phones and communicate with clients on a daily basis. Act as a liaison between internal departments and outside agencies. Prepare, revise and proofread correspondence, documents, and other clerical assignments. Handle a wide variety of complex and confidential, time-sensitive material. Run conflict checks and open new client engagements as requested. Maintain calendar, CLE, reports and time records. Book and organize travel arrangements, including flights, hotels, transportation, and make changes to reservations as needed. Maintain docketing for attorneys. Handle various office and client filing. Perform other administrative duties as assigned. Requirements: College graduate. 3+ years' recent experience as an immigration secretary within a law firm. Law firm experience is a must. 65+ wpm typing speed. Accuracy and attention to detail. Familiarity with state and federal rules and procedures are a plus, along with law firm billing software. Must have solid understanding of technical legal terminology. Strong verbal and written communication skills, as well as excellent proofreading skills. Ability to multi-task, respond in timely fashion to deadlines, and balance workload. Proficiency with Office 2013 suite, including Outlook, Word, Excel and PowerPoint. Strong interpersonal skills and ability to work well in a collegial, cooperative office environment with both attorneys and support staff. Must be detailed oriented, process a professional demeanor, have a proactive attitude, and must have excellent word processing skills.
