Legal Secretary/Administrative Assistant Duties: Provides administrative, client services and word processing support to group of attorneys in various practice groups. Plan, coordinate and ensure that schedules are followed and respected, and that all tasks are completed in a timely manner. Manage and coordinate international and domestic travel arrangements with complex itineraries. Organize logistics for client and prospective business meetings. Maintain good communication with clients and attorneys. Oversee practice group activities including seminars, social events, receptions and internal meetings. Manage, maintain and update contact client database. Create, edit and proofread legal documents. Set up and maintain files and records. Prepare client billing. Input time entry. Prepare expense forms. Maintain standardized list of attorneys matters including client/matter numbers and descriptions, function codes, etc. Monitor incoming emails, prioritize. Make telephone calls, place conference calls, schedule appointments, reserve conference rooms and order lunch when requested. Other projects and duties as required. Qualifications: 3-5 years' experience as a C-level administrative assistant. College degree preferred. Excellent communication skills, well-spoken, polished demeanor, with the ability to positively interact with VIP clients and guests. Proven ability to work as a team. Strong sense of urgency, ability to initiate, self-starter. Ability to multitask, organize and prioritize under pressure. Detail oriented. Proficiency in Microsoft Office Suite. Ability to type 65 wpm. Ability to work efficiently and accurately in an atmosphere of frequent interruption. Ability to work in close proximity to other individuals. Ability to carry light objects, i.e. files, small objects and supplies a short distance.
