Legal Secretary - Non-Profit Duties: Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics; coordinating case preparation; Conserves attorneys time by reading, researching, reviewing, verifying, and routing correspondence, reports and legal documents; drafting letters and documents; collecting and analyzing information; initiating telecommunications, organizing client conferences, and attorney meetings; scheduling couriers, court reporters, expert witnesses, and other special functions; coordinating preparation of charts, graphs, and other courtroom visuals; preparing expense reports; Maintains attorney calendar by planning and scheduling conferences, teleconferences, dispositions, and travel; recording and monitoring court appearance dates, pleadings, and filing requirements; monitoring evidence-gathering; anticipating changes in litigation or transaction preparation requirements; Represents attorney by communicating and obtaining information; following-up on delegated assignments; knowing when to act and when to refer matters to attorney; Generates revenues by documenting and inputting attorney billable time and reimbursable expenses; preparing invoices, delivering invoices in the appropriate format, following up with client regarding any billing issues or questions, Maintains client confidence by keeping client/attorney information confidential; Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions; maintaining transcripts; documenting and maintaining evidence; Enhances practice group and organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments; Perform other duties as assigned. Qualifications: Minimum two-year Associates degree preferred; Bachelor Degree from an accredited University a plus; 3-6 years of law firm experience as a legal secretary; Thorough knowledge of legal terminology and formats (legal documents, specifically transactional documents); Proficient in use of office machinery, photocopy and scanning equipment; Advanced proficiency working with transcription systems; Accurately types 70+ WPM; Excellent knowledge of English language; Positive attitude, strong written and verbal communication skills; impeccable attendance and punctuality; strong work ethic and highly organized; Strong communication and organizational skills in a legal services environment; Proactive team approach; the ability to work well under pressure and with flexibility; A self-starter able to work independently with minimal supervision and who is detail oriented; Ability to follow directions; Strong day-to-day organizational skills, particularly with respect to file maintenance and record keeping; Impeccable attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines; Computer proficiency, with advanced experience in Outlook, and Microsoft Office; Additional proficiency with Power Point, Excel, Visio and Elite is a plus; Must be able to work in fast-paced environment with project time constraints.
