This mid size Orlando office maintains a full service civil law practice. The is organized into the following areas: litigation, health law, communications and media, employment and labor, tax, personal planning and employee benefits, securities and public offering, real estate, and business and corporate office. Legal Secretary The candidate delivers excellent work and superior service to the Firm's clients; contributes to the Firm's reputation for excellence by providing highly efficient and effective secretarial and administrative support to a legal team consisting of five or more attorneys. Communicates with attorneys and assists in balancing the team's workload to ensure completion of projects within established time frames and quality standards; seeks guidance from the Human Resources Manager as necessary. Prepare various legal documents and correspondence such as summonses, complaints, motions, and subpoenas specific to the practice area of the attorney and legal assistant. Assists with opening and closing of client matters. Preparation of exhibits and trial notebooks, scheduling depositions, court reporters, and videographers. File documents, order certificates and perform searches with the Texas Secretary of State, and also work with Capitol Services for corporations that are formed outside of Texas. Administrative support includes answering phones and routing calls, transcribing dictation, maintaining multiple attorney calendars, coordinating travel arrangements, entering attorney time, billing, preparing expense reports, and organizing, and coordinating meetings and conferences. Prepares closing binders for corporate transactions and assists with post-closing matters. Organizes and maintains client files and form files. Assists with billing/edits; enters attorney time into time entry system as requested. Perform other duties as assigned. Should have a High school diploma or general education degree (GED), and 3+ years of law firm experience required, supporting a minimum of five attorneys. Must have advanced skills with Outlook and Word (using styles, track changes, and document comparison programs). Demonstrated proficiency with Excel and PowerPoint. Advanced skills with Adobe Acrobat. Proven aptitude to learn new software applications. Must know about appellate, federal, and state court systems, including appellate and federal e-filing and state court online filing systems required. Interpersonal communication skills are necessary to maintain effective relationships with partners, attorneys, clients, and staff in person, by email, and by telephone. Ability to provide a high level of customer service and be able to clearly and effectively communicate both verbally and in writing. Must be detailed oriented, able to work independently and in a team environment, and able to implement high-priority projects. Fundamental knowledge of legal terminology, court rules, and procedures. Must have great attention to detail.
